Legal Receptionist & Real Estate Administrative Assistant Full-Time | 40 Hours per Week | $25.00 per Hour Are you highly organized, detail-oriented, and energized by keeping a fast-paced office running smoothly? We are seeking a Legal Receptionist & Real Estate Administrative Assistant to become the welcoming face and organizational backbone of our busy real estate law practice in Montville, New Jersey. In this role, you'll do much more than answer phones—you'll help guide buyers and sellers through the real estate transaction process, coordinate important deadlines, communicate with clients and industry professionals, and ensure every file is organized and moving toward a successful closing. We're looking for someone who enjoys helping people, thrives in a collaborative environment, and takes pride in keeping things organized. Real estate or legal experience is helpful, but we're willing to train the right person who brings a positive attitude, strong organizational skills, and a willingness to learn. What You'll Do Welcome clients and visitors while providing exceptional customer service. Answer and direct incoming phone calls. Send "Important Dates" letters and other correspondence to clients. Monitor transaction timelines and follow up on inspection contingencies. Coordinate title orders and specialty property searches, including flood and wetland reports. Prepare and submit OPRA (Open Public Records Act) requests to municipal clerks. Coordinate with lenders, title companies, and closing agents to ensure all required closing documents are received and distributed. Maintain organized electronic and physical files. Assist with general office administration and support the legal team as needed. What We're Looking For Excellent organizational and multitasking skills. Team player. Willingness to learn. Proficiency with Microsoft Office and general computer applications. Administrative, customer service, legal, or real estate experience is a plus, but not required.
