The Sales Support Representative provides operational and administrative support throughout the sales and order fulfillment process. This role supports quote development, processes and maintains customer orders, coordinates activities across internal departments, and ensures accurate, timely information in Salesforce, SYSPRO, and other business systems. Serving as a key link among Sales, Engineering, Operations, Transportation, and other teams, the position requires strong attention to detail, organization, communication, and issue resolution throughout the quote-to-order lifecycle.
KEY RESPONSIBILITIES
Prepare and maintain customer quotes, opportunities, and related sales information in Salesforce and other business systems. Review and coordinate quote requests, bid packages, specifications, dimensional drawings, and customer requirements for completeness and appropriate routing. Process sales orders accurately in accordance with established procedures, customer requirements, and internal controls. Review engineering quotations, prior invoices, historical quotes, and supporting documentation to validate pricing and order requirements. Support Requests for Offer (RFOs), complex bids, large orders, and sales opportunities requiring cross-functional coordination. Maintain accurate and timely sales order information from initial entry through shipment and completion. Monitor order status and proactively coordinate with Operations, Engineering, Transportation, and other teams to address issues affecting customer commitments. Maintain complete opportunity, quote, order, and shipment information in Salesforce and SYSPRO. Prepare and analyze inventory and other supporting information for Sales to develop opportunities, quotes, and orders. Communicate with customers as needed regarding quotes, orders, documentation, status inquiries, and routine sales support matters. Identify discrepancies, potential order issues, or process gaps and coordinate timely resolution with the appropriate stakeholders. Provide cross-functional and team coverage to support business continuity and changing workload requirements. Support the development, documentation, and continuous improvement of sales support processes, procedures, and controls. Perform other duties and responsibilities as assigned in support of departmental and organizational objectives. High school diploma or GED required. One to three years of experience in sales support, customer service, order management, administrative support, or a related business environment preferred. Proficiency with Microsoft Office applications, including Excel, Outlook, and related productivity tools. Strong written and verbal communication skills. Strong organizational skills with the ability to manage multiple priorities and maintain accuracy in a deadline-driven environment. Demonstrated attention to detail and ability to recognize discrepancies or potential issues. Ability to work effectively across departments and communicate professionally with internal and external stakeholders. Ability to learn and effectively use business systems, processes, products, and technical information relevant to the position.
PREFERRED QUALIFICATIONS
Associate's or bachelor's degree in business, Operations, Supply Chain, or a related discipline. Experience with Salesforce, SYSPRO, ERP, CRM, or order management systems. Experience supporting industrial, manufacturing, repair, distribution, or other technically oriented sales environments. Experience reviewing bid specifications, technical documentation, drawings, or customer requirements.
