Kapaʻa, Kauaʻi, with regular travel to Hanalei and Kōloa

Group Leadership Team About the Role We are looking for a highly organized, dependable, and resourceful Retail Operations & Inventory Lead to join our leadership team and support our four retail stores in Hanalei and Kōloa. This is a unique role that combines inventory management, warehouse organization, merchandise distribution, scheduling coordination, and retail store support . Our Kapaʻa warehouse is not a large distribution center. It is an approximately 600-square-foot space that serves as the central receiving and distribution point for our stores. We receive merchandise from many different vendors, and one of the most important parts of this position is figuring out how to keep everything organized and accessible while making the best possible use of limited space. We are looking for someone who genuinely enjoys bringing order to chaos . If you are the kind of person who sees a crowded storage area and immediately starts thinking about how it could be organized better, you may really enjoy this position. You will also be an important link between the warehouse and our stores. You will work closely with our Store Leads to make sure merchandise gets where it needs to go, schedules are coordinated, staffing issues are addressed, and our stores have the operational support they need. While the warehouse will be your primary work location, this is very much a people-oriented role . You will regularly communicate with Store Leads and team members and will occasionally work in one of our stores when additional coverage is needed. What You'll Be Responsible For Receiving & Inventory You will take ownership of the day-to-day organization and flow of merchandise through our Kapaʻa warehouse.
Responsibilities include:
Receive incoming shipments and verify merchandise and quantities. Accurately enter received merchandise into Lightspeed Retail POS . Identify and help resolve shipment discrepancies. Label merchandise and storage locations appropriately. Keep the warehouse clean, organized, functional, and easy to navigate. Create practical storage systems that maximize our available space. Organize merchandise so products can be located and pulled quickly. Continually improve the warehouse layout as inventory and merchandise change. Help maintain accurate inventory records. Investigate and help resolve inventory discrepancies when they occur. Because our warehouse space is limited, this role requires creativity and problem-solving. When several shipments arrive at the same time, you will need to figure out how to accommodate the new merchandise without allowing the warehouse to become disorganized. Merchandise Transfers to Our Stores Our warehouse supplies our four retail locations in Hanalei and Kōloa. You will be responsible for making sure merchandise moves accurately and efficiently from the warehouse to the stores.
This includes:
Coordinate merchandise transfers to our four retail stores. Create and process transfers accurately in Lightspeed. Pull the correct products and quantities for each location. Check transfers for accuracy before they leave the warehouse. Pack and organize merchandise so it can be easily received by the store team. Prepare the appropriate paperwork and transfer documentation. Label transfers clearly for the correct store. Coordinate the delivery and movement of merchandise to Hanalei and Kōloa. Work with Store Leads to resolve transfer or inventory discrepancies. Help ensure that transfers sent from the warehouse are properly received by the stores. Help keep merchandise flowing efficiently between the warehouse and our retail locations. Accuracy is extremely important. The physical merchandise, paperwork, and information entered into Lightspeed should all match. Scheduling & Team Support As a member of our Group Leadership Team , you will work closely with our Store Leads to help coordinate staffing across the four stores.
Responsibilities include:
Work collaboratively with Store Leads on employee scheduling. Help coordinate schedules across locations when team members work at more than one store. Identify potential staffing gaps and help address them proactively. Assist Store Leads when schedule changes are needed. Help coordinate coverage when a team member calls out or cannot work a scheduled shift. Communicate with team members to identify available coverage. Help make sure schedule changes are clearly communicated. Store Leads remain responsible for the day-to-day operation of their individual stores. The Retail Operations & Inventory Lead provides cross-store coordination and operational support . Helping When Someone Calls Out Retail doesn't always go according to plan. If a team member calls out unexpectedly, you and the Store Lead will work together to find another team member who can cover the shift. If reasonable coverage cannot be found, you must be willing to step in and work at the store yourself when necessary . Because our stores are located in both Hanalei and Kōloa, you must be comfortable driving from Kapaʻa to either side of the island when needed. This won't necessarily be your everyday responsibility, but reliability and flexibility are important parts of this leadership position. Retail & Customer Service Although most of your regular work will take place at the warehouse, you are also part of our retail team. When working in one of our stores, you will be expected to: Welcome customers warmly. Provide friendly and helpful customer service. Become familiar with our merchandise. Help customers find products and answer questions. Operate the POS system accurately. Help keep the store clean, organized, and attractive. Restock and organize merchandise as needed. Work cooperatively with Store Leads and associates. You should be comfortable moving between behind-the-scenes operational work and customer-facing retail work. Communicate clearly and respectfully. Work well with different personalities. Are comfortable coordinating with other leaders without needing to be everyone's "boss." Are willing to jump in and help when the team needs you. Enjoy variety rather than wanting every day to look exactly the same. Requirements Valid driver's license. Reliable transportation. Comfortable regularly driving between Kapaʻa, Hanalei, and Kōloa. Comfortable working primarily from our Kapaʻa warehouse. Comfortable using computers and learning inventory and POS systems. Able to accurately enter and review inventory information. Able to safely receive, move, organize, and handle boxes associated with normal retail shipments. Comfortable being on your feet and performing typical stockroom and retail activities. Comfortable occasionally working at one of our retail stores. Able to provide friendly, professional customer service. Dependable and able to respond appropriately when unexpected operational or staffing issues arise. Able to lift boxes up to 50 lbs Experience with Lightspeed Retail POS, inventory management, retail operations, merchandising, receiving, scheduling, or stockroom organization is helpful but not required. We are willing to train the right person. What Success Looks Like A successful Retail Operations & Inventory Lead will help make life easier for everyone else on the team.
Success in this role means:
Shipments are received and entered accurately. Merchandise doesn't sit around waiting to be processed. The warehouse remains organized even during busy receiving periods. Products can be found quickly without searching through boxes. Limited warehouse space is used intelligently. Store transfers are accurate and properly documented. Transfers in Lightspeed match the merchandise physically being moved. Stores receive the merchandise they need in an organized manner. Scheduling issues are identified and addressed quickly. Store Leads feel supported. Inventory discrepancies are investigated rather than allowed to accumulate. When an unexpected problem occurs, you help find a solution. Why This Role Is Different This isn't a traditional warehouse position, and it isn't a traditional retail management position. On one day, you might receive several shipments, enter them into Lightspeed, and completely reorganize an area of the warehouse to make everything fit. On another day, you might prepare merchandise transfers for all four stores, coordinate schedules with the Store Leads, and drive merchandise to Hanalei. And occasionally, you may need to put the warehouse work aside and help customers in one of our stores because someone called out unexpectedly. We need someone who enjoys that variety. Most importantly, we're looking for someone who takes pride in making things organized, accurate, efficient, and dependable .
