The Assistant Shop Manager supports the Fleet Manager in overseeing daily shop operations, scheduling maintenance, managing parts inventory, and supervising technicians. This role requires a blend of administrative organization, customer/driver service, and basic technical knowledge of medium- to heavy-duty vehicles.
Key Responsibilities Operations & Scheduling:
Coordinate and schedule routine preventative maintenance (PM) and emergency repairs for the fleet. Assign work orders to technicians based on priority and skill level.
Inventory & Parts Management:
Source, order, and track parts, tires, and shop supplies. Maintain organized inventory levels to prevent repair delays while staying within budget.
Compliance & Safety:
Ensure the shop complies with OSHA, EPA, and DOT regulations. Maintain accurate service records, DVIRs (Driver Vehicle Inspection Reports), and documentation for audits.
Team Supervision:
Assist in managing technician performance, tracking efficiency hours, and enforcing safety protocols on the shop floor.
Data & Invoicing:
Utilize fleet management software (CMMS) to open, update, and close work orders. Review vendor invoices for accuracy before submitting them for approval. Qualifications & Skills (Entry-Level / Willing to Train)
Traits & Mindset:
Fast learner with a sharp mind, a strong work ethic, and a positive attitude. Highly motivated to learn the fleet maintenance industry from the ground up.
Experience:
Entry-level. No prior fleet management experience required. Backgrounds in customer service, retail, logistics, or basic mechanical hobbies are a plus.
Core Skills:
Strong organizational skills and attention to detail. Must be able to multitask in a fast-paced shop environment.
Communication:
Excellent verbal and written communication skills to easily collaborate with technicians, drivers, and vendors.
Computer Basics:
Comfortable using computers, smartphones, or tablets. Basic knowledge of spreadsheets (like Excel) or a proven ability to quickly learn new software systems.
Requirements:
A valid driver's license and a reliable way to get to work
