SCOPE OF POSITION/SUMMARY

The Administrative Assistant will focus on processing parts quotes and customer orders as well as additional support for other functions. This individual will assist in maintaining efficient administrative workflows and play a vital role in ensuring excellent customer service. The Administrative Assistant will work closely with the Inside Sales team, external customers, and various internal departments.

ESSENTIAL DUTIES & RESPONSIBILITES

include the following; other duties may be assigned: Support the Inside Sales department by entering and updating sales orders and quotes as well as support other internal functions Communicate with customers regarding pricing, delivery timelines, order status, and order changes. Process customer purchase orders and changes, provide invoices, shipping documents, and proposals with accuracy and timeliness. Respond to customer inquiries, providing product information or directing them to the appropriate team member. Promote order discounts and promotions to customers. Assist in resolving customer concerns, working with relevant departments to ensure satisfaction. Collaborate with production, shipping, and warehouse teams to follow up on deliveries and resolve delays. Support general office functions including answering phones, checking in visitors, and signing for deliveries.

QUALIFICATIONS & REQUIREMENTS

1+ years of experience in an administrative, sales support, or customer service role High school diploma or GED equivalent required Proficient in Microsoft Office Suite (Word, Excel, Outlook) Ability to read and understand specifications, blueprints, and schematics is a plus Strong math, organizational, and communication skills Detail-oriented with the ability to multitask in a fast-paced environment
