Administrative & Sales Assistant Work Hours - 8:00am - 4:30pm M-F We are looking for a dedicated Assistant who would enjoy providing an exceptional resolution experience for a growing business. The candidate will have demonstrated success in Customer Service in a manufacturing or distribution environment. This position will also assist in a variety of purchasing, matching packing lists with vendor invoices, and miscellaneous clerical duties. Experience in Quickbooks and Excel required
Duties and Responsibilities:
Data entry of customer orders Provide exceptional customer service in everyday activities with internal and external customers via phone, fax, and email. Receive inbound calls of customer requests and provide resolution to customer concerns. Inside Sales Prepares shipments for customer or commercial pick-up; determine the most economical and efficient shipping method; Prepare bills of lading; check items to be shipped against work orders to ascertain that quantities, destination, and routing are correct Track shipments and/or customer claims of lost shipments; initiate proof of delivery documents. Communicates with other company departments in a respectful, friendly manner, always supplying accurate and complete information to their inquiries or when requesting information from them to assist with a customer question or need. Provides appropriate support as requested to reps, distributors, sales managers, or team members from other areas of the company.
Clerical activity such as:
Special projects, issuing product returns/credits/debits. Research for payment discrepancies, shortages, checking available stock, tracking shipments, updating customers on existing orders, etc. Sort, collate, and file records and all corresponding documentation. Process invoices. Enter cash receipts. Make collection calls/prepare monthly statements. Accounts Payable entry. Review/match P.O. with receiving documents and vendor invoices to determine accuracy. Record discrepancies or damages of shipments and notifies carrier and/or supplier.
Minimum Job Requirements:
Completed degree(s) from an accredited institution is recommended but may be substituted for experience. High school diploma or GED, at least 2 years of experience that is directly related to the duties and responsibilities specified. Uses sound judgment and has a sense of urgency toward on-time task completion Proven ability to handle customer issues while staying composed and having a professional attitude and demeanor Knowledge of postal or commercial shipping methods and procedures. Ability to utilize computers for tracking, ordering, shipping, and receiving. Required knowledge of Quickbooks or related accounting software Required knowledge of Microsoft tools Self-motivated team player, positive attitude, and the ability to work well with a multitude of departments, with minimal supervision. Good verbal and written communication skills
