Job Description

Summary/Objective The Banquet & Sales Coordinator is responsible for driving group sales and coordinating all aspects of banquet and special event bookings at Ute Mountain Casino Hotel. This role serves as the primary point of contact for clients from inquiry through execution, ensuring exceptional service and seamless communication with internal departments. The ideal candidate is detail-oriented, sales-minded, and skilled in event planning, with a focus on delivering an outstanding guest experience while supporting revenue growth and brand alignment. Key Accountabilities Generate and respond to banquet and group sales inquiries. Proactively pursue new business opportunities for banquets, meetings, reunions, and special events. Respond to client inquiries with professionalism and timely follow-up. Manage event bookings and the sales lifecycle. Coordinate availability, draft contracts, and ensure all banquet sales documentation is complete. Serve as the main point of contact for pre-event planning. Coordinate event details with internal departments. Work with Food & Beverage, Hotel, Facilities, and other departments to plan menus, layouts, décor, and A/V needs. Ensure all logistics are confirmed and communicated ahead of event execution. Support banquet execution and client experience. Assist with on-site coordination during events to ensure guest satisfaction and smooth delivery. Resolve real-time issues professionally and proactively. Maintain banquet and group sales records. Track inquiries, bookings, revenue, and lead sources. Provide monthly sales and performance reports to the Director of Marketing. Promote banquet services across marketing channels. Collaborate with the Marketing team to develop flyers, web content, and social media promotions. Ensure brand standards are upheld in all banquet-related materials. Foster long-term client relationships. Follow up with clients after events to ensure satisfaction, gather feedback, and encourage repeat bookings. Maintain a professional and approachable presence throughout the client journey. Coordinate with tribal departments as needed. Support tribal communication and approvals for banquet-related activities. Ensure events align with internal policies and tribal standards. General Must be at least 21 years of age and able to obtain and maintain a Ute Mountain Ute Gaming Commission Support License Must be fluent in English with strong verbal and written communication skills Must be able and willing to work a flexible schedule including weekends and holidays Education High school diploma or GED required Experience At least 1 year of experience in banquet coordination, group sales, hospitality event planning, or relevant experience is required. Experience in an entertainment, tribal gaming, hotel, or resort environment is strongly preferred. Familiarity with event logistics, banquet sales processes, or client-facing roles is beneficial. Knowledge, Skills, and Abilities (KSAs) Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent communication and interpersonal skills with a professional demeanor. Strong organizational and time-management abilities, with attention to detail. Sales-minded approach with a customer service orientation. Knowledge of banquet planning, A/V setup basics, and event service best practices. Familiarity with CRM software, POS systems, or event booking platforms is a plus. Ability to work flexible hours, including evenings, weekends, and holidays, based on event needs. Proactive problem-solving skills and the ability to adapt in a fast-paced, guest-facing environment.
