Position Summary We are seeking a professional, organized, and customer-focused Sales Receptionist / DMV & Registration Clerk to join our BMW dealership. This is a hybrid position combining the customer-facing responsibilities of our sales reception desk with the administrative responsibilities associated with vehicle registrations, titles, and DMV processing. The ideal candidate is polished and welcoming, highly organized, comfortable handling multiple priorities, and capable of maintaining accuracy when working with time-sensitive vehicle and customer documentation. Key Responsibilities Reception & Customer Experience Greet customers promptly and professionally upon arrival and create a welcoming, premium dealership experience. Maintain and update customer CRM to ensure data integrity and accuracy. Answer and direct incoming telephone calls to the appropriate department or team member. Assist customers with locating their Client Advisor, Sales Manager, Finance Manager, or other dealership personnel. Maintain a professional, organized, and presentable sales reception area. Assist with basic customer questions and ensure customers are connected with the appropriate dealership resource. Communicate effectively with sales, finance, service, parts, and management personnel. Provide administrative support to the sales department as needed. Light stocking and cleaning responsibilities. DMV, Registration & Title Responsibilities Process vehicle registration and title paperwork accurately and within required deadlines. Review sales and finance documentation for completeness before processing registrations. Process new and used vehicle registrations, title applications, plate transfers, new plates, and related transactions. Verify customer, vehicle, lienholder, insurance, and registration information for accuracy. Coordinate with sales and finance personnel to resolve missing or incorrect documentation. Maintain accurate records of pending registrations, titles, and outstanding documentation. Track title and registration status and follow up on outstanding items. Prepare and organize DMV paperwork and supporting documentation. Work with dealership registration systems and third-party registration vendors as applicable. Maintain organized files and documentation in accordance with dealership policies and applicable state requirements. Assist with out-of-state registrations and title transactions when necessary. Communicate professionally with customers when additional registration, insurance, identification, or title documentation is required. Protect confidential customer and dealership information. Qualifications Previous dealership, DMV, registry, title clerk, receptionist, or automotive administrative experience preferred. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Professional appearance and communication skills appropriate for a premium automotive dealership. Strong customer-service skills and a positive, welcoming demeanor. Ability to manage multiple priorities in a fast-paced dealership environment. Comfortable working independently while communicating closely with multiple departments. Strong computer and data-entry skills. Ability to learn dealership management systems, registration software, and manufacturer systems. Experience with Massachusetts vehicle registration and title procedures is strongly preferred. CDK/VITU, and/or electronic registration system experience is a plus.
