We are looking for a motivated, energetic, and fully bilingual Patient Appointment Coordinator to be the welcoming first voice our future patients hear. In this role, you are the first point of contact for people who have already raised their hand and requested information about our services. Your job is to reach out by phone, build genuine rapport, schedule their appointment, secure a small deposit that holds their spot, and make sure they arrive for a great experience. This is not a cold-calling or high-pressure sales position. Every person you call is a warm lead who already asked about us. Your success is measured by rapport, organized follow-up, quality appointments booked, and patients who show up, not by pressure. What You'll Do Contact warm leads promptly by phone, text, and email to schedule appointments. Build rapport, answer questions about our services, and guide patients through booking with confidence. Collect the appointment deposit and accurately process payment to secure each booking. Log every call, outcome, and next step in our CRM (GoHighLevel) with clean, accurate notes. Follow up with prospective patients, confirm upcoming appointments, and re-engage no-shows to maximize attendance. Communicate professionally with patients in both English and Spanish. Follow our proven scripts, scheduling protocols, and luxury communication standards. Coordinate availability with our providers for efficient scheduling. Meet daily activity goals for outbound calls, bookings, deposits, and CRM documentation. Support the clinical and administrative teams for a seamless patient journey, plus related scheduling duties as needed. What We're Looking For Fully bilingual in English and Spanish, spoken and written (required). Confident, warm phone presence, comfortable speaking on the phone throughout the day. Comfortable collecting payment information over the phone with professionalism and accuracy. Strong organization, active listening, and relationship-building skills. Self-motivated, reliable, and able to consistently hit daily goals with light supervision. Experience in appointment setting, patient coordination, medical scheduling, customer service, or a call center is preferred. Experience in a med spa, aesthetic practice, wellness clinic, or healthcare setting is a strong plus. Familiarity with GoHighLevel or a similar CRM is a plus. Positive, professional, and excited to help grow a premium practice. Compensation & What We Offer Competitive hourly pay of $20.00-$25.00, based on experience. $10.00 to $15.00 performance bonus for every patient you book who completes their appointment and receives treatment, uncapped.
