Our facilities offer residential treatment, outpatient care, and transitional living programs, all guided by evidence-based clinical approaches to ensure personalized and effective support for each individual. Job Summary The Outreach & Admissions Supervisor oversees the Admissions Administrative Team while serving as the organization's primary outreach representative. This position is responsible for supervising admissions administrative operations, ensuring efficient and customer-focused support throughout the admissions process, and actively building relationships with referral sources and community partners. The role combines team leadership with direct community engagement to support organizational growth, access to services, and operational excellence. Key Responsibilities
  • Provide direct supervision, coaching, training, and performance management for the Admissions Administrative Team.
  • Establish work priorities and ensure timely completion of admissions support activities.
  • Monitor staff productivity, workflow efficiency, and customer service standards.
  • Participate in hiring, onboarding, training, and development of admissions administrative staff.
  • Conduct regular team meetings and provide ongoing feedback and support.
  • Foster a collaborative, professional, and service-oriented work environment.
  • Develop and implement process improvements to enhance operational effectiveness.
  • Serve as the primary representative of Harbor Hall within the community, promoting organizational programs, services, and resources.
  • Build and maintain strong relationships with healthcare providers, referral sources, schools, employers, nonprofits, and community organizations.
  • Conduct regular outreach visits to community partners and referral sources.
  • Attend and represent Harbor Hall at community events, health fairs, networking functions, conferences, and presentations.
  • Distribute educational and promotional materials throughout the service area.
  • Identify opportunities to expand referral networks and increase community awareness of Harbor Hall services.
  • Provide presentations and educational information to community groups and stakeholders.
  • Gather feedback from community partners and referral sources to improve outreach efforts.
  • Collaborate with internal departments to ensure accurate and consistent communication.
  • Maintain visibility and positive relationships within the community to support organizational growth.
  • Maintain accurate records of outreach activities, contact lists, and partnership engagement.
  • Track outreach metrics and prepare monthly or quarterly reports.
  • Ensure compliance with organizational policies and communication standards. Qualifications
  • Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Communications, Human Services, Marketing, or a related field; equivalent experience may be considered.
  • Minimum of three to five years of experience in admissions, outreach, healthcare operations, customer service, or a related field.
  • Previous supervisory, team lead, or management experience.
  • Strong interpersonal, relationship-building, and communication skills.
  • Experience working with referral sources, community partners, or external stakeholders.
  • Demonstrated ability to manage multiple priorities and meet deadlines.
  • Strong organizational skills and attention to detail.
  • Ability to collect, analyze, and report data and performance metrics.
  • Valid driver's license and reliable transportation for local travel.
  • Experience working in healthcare, nonprofit, education, or human services environments.
  • Event planning experience.
  • Experience with CRM databases.
  • Knowledge of community resources and local organizations. Key Competencies

  • Process improvement and workflow management Physical & Work Requirements Ability to travel within the state for outreach events and meetings.
Ability to lift up to 25 lbs for event materials. Periodic evening or weekend events may be required. Prolonged periods working at a computer. Pay:
From $65,000.00 per year
