VP of Development The Membership and Database Coordinator supports the advancement efforts of the Putnam Museum by managing the membership program and donor database, while also playing a key role in growing membership revenue through active sales efforts. This position is responsible for achieving membership acquisition, renewal, and upgrade goals, and may be eligible for performance-based incentives tied to membership growth. The coordinator ensures data accuracy, excellent member service, and effective use of the CRM to drive engagement and revenue. ________________________________________________________________________________
ESSENTIAL DUTIES AND RESPONSIBILITIES
Membership Program Management & Sales Proactively solicit and secure new memberships through on-site, online, and community-based outreach. Consistently meet or exceed monthly and annual membership sales and renewal targets. Develop and implement strategies to drive upgrades, gift memberships, and lapsed-member reactivation. Partner with Guest Services to maximize point-of-entry membership conversion rates. Provide exemplary customer service, ensuring member satisfaction and loyalty. Support member engagement activities and events that increase renewals and referrals. Track and analyze sales results, reporting regularly to the VP of Development. Database and Data Integrity Manage the donor/membership database (CRM), ensuring accuracy, integrity, and confidentiality. Record all member and donor activity in a timely and accurate manner. Generate reports to evaluate sales performance, campaign results, and member trends. Ensure compliance with ethical, legal, and institutional data management standards. Fundraising & Advancement Support Segment and analyze membership/donor lists to support campaigns and targeted outreach. Assist in preparation of acknowledgments, appeals, and stewardship communications. Support fundraising events and annual campaigns as needed. Collaboration and Cross-Departmental Support Work with Guest Services to align frontline staff incentives with membership goals. Partner with Marketing to create compelling messaging for sales and retention campaigns. Share membership insights to inform Development strategies.
ADDITIONAL RESPONSIBILITIES
Participate in sales training, goal-setting sessions, and incentive programs. Serve on committees or projects related to membership growth. Perform other duties as assigned to support Development goals.
KNOWLEDGE, SKILLS AND ABILITIES
Proven sales ability, with a track record of meeting or exceeding revenue goals. Strong customer service and interpersonal communication skills. Goal-oriented mindset with the ability to thrive in a results-driven environment. Excellent organizational skills and attention to detail. Ability to analyze sales performance and adjust strategies accordingly. Proficiency with fundraising or CRM databases (Altru, Raiser's Edge, or similar).
TRAINING AND EXPERIENCE
Bachelor's degree (or equivalent experience) preferred. 2-3 years of sales experience in membership, fundraising, or customer service. Demonstrated ability to meet revenue or sales goals. Familiarity with CRM systems and Microsoft Office required; marketing/communications experience a plus. _________________________________________________________
