Plymouth Meeting, PA 19462 Occasional travel within Montgomery County required for events and donor outreach. On-site presence required for the first 90 days; hybrid schedule available thereafter (minimum three days in-office, up to two days remote).
POSITION SUMMARY
Mission Kids is seeking a highly organized, detail-oriented, and mission-driven Development and Database Associate to support the organization's fundraising, donor relations, and community engagement efforts. This role is integral to Mission Kids' development operations, with responsibilities including managing the donor database, generating timely acknowledgments as part of donor stewardship, supporting events and outreach initiatives, and providing critical administrative assistance to the Director of Development. The ideal candidate is excellent with CRM database management, adept at managing multiple priorities and passionate about supporting our mission. This position requires a high level of professionalism, discretion, and flexibility, including some evening and weekend hours for events and community outreach.
ESSENTIAL DUTIES & TASKS
Donor Relations, Database Management & Strategic Development Manage and maintain the Blackbaud Raiser's Edge donor database to ensure accurate donor records and giving histories. Oversee data integrity, including cleanup of duplicate records, returned mail, and donor updates. Input new donor information and update existing records. Generate reports, queries, and tracking lists to inform fundraising strategy, event planning, and donor communications. Assist with donor and prospect screenings. Create and manage mail merges for donor solicitations and acknowledgment letters.
Fundraising & Event Support:
Assist in planning and executing fundraising, outreach, and training events, ensuring all logistical details are in place Maintain and update event timelines, materials, and run-of-show documents; provide support as needed for execution. Prepare agendas, training presentations, and meeting materials. Attend fundraising committee meetings, serve as the primary note-taker, and follow up on action items. Manage guest lists, registration materials, and event logistics. Work closely with the Development Director to implement an annual comprehensive fundraising strategy. Community Outreach & Representation Represent Mission Kids at community events, networking functions, and outreach initiatives. Deliver presentations and effectively communicate the organization's mission. Engage with community partners, donors, and potential supporters to strengthen relationships.
Administrative & Special Projects Support:
Compose, format, and distribute professional correspondence, emails, reports, and other materials. Maintain donor database filing systems for accurate record-keeping and retention. Assist the Development Director with special projects as needed. Perform general clerical duties, including filing, photocopying, faxing, and mailing. Demonstrate professionalism in handling confidential and sensitive information. Compliance and Professional Development Complete 4 hours of Diversity, Equity, and Inclusion (DEI) training annually. Maintain compliance with all necessary background checks, including child abuse history, criminal history, and FBI clearances. Maintain a valid PA driver's license and insurance for occasional travel.
KNOWLEDGE, SKILLS AND ABILITIES
: Strong knowledge of donor database/CRM management, preferably Blackbaud Raiser's Edge, including data entry, record maintenance, donor histories, queries, reports, lists, and database cleanup. Demonstrated ability to maintain a high level of data accuracy and integrity, including identifying duplicate records, processing donor updates, managing returned mail, and maintaining complete and accurate donor and prospect information. Knowledge of nonprofit fundraising and donor stewardship practices, including gift acknowledgment, donor communications, solicitations, prospect research/screening, and relationship-building. Ability to generate and interpret database reports, queries, mailing lists, and tracking reports to support fundraising strategy, donor engagement, event planning, and organizational decision-making. Proficiency in creating and managing mail merges, acknowledgment letters, donor correspondence, mailing lists, labels, and other development communications. Strong event planning and coordination skills, including managing timelines, guest lists, registrations, materials, logistics, run-of-show documents, and event follow-up. Excellent organizational and project-management skills, with the ability to manage multiple assignments, deadlines, events, and competing priorities simultaneously. Strong attention to detail and ability to independently track tasks and follow through on action items to completion. Excellent written and verbal communication skills, including the ability to prepare professional correspondence, reports, meeting materials, presentations, agendas, and other communications. Strong meeting coordination and documentation skills, including accurate note-taking, preparation of meeting materials, tracking decisions, and following up on assigned action items. Ability to professionally represent Mission Kids in the community, including interacting with donors, volunteers, community partners, committee members, and prospective supporters. Strong public speaking and presentation skills, with the ability to clearly and effectively communicate Mission Kids' mission, programs, impact, and community role to diverse audiences. Demonstrated ability to build and maintain positive, professional relationships with donors, community partners, volunteers, vendors, staff, and other stakeholders. Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and related technology used for database management, reporting, presentations, correspondence, and event coordination. Ability to learn and effectively utilize new fundraising, database, event-management, and organizational technology platforms. Strong analytical and problem-solving skills, including the ability to identify database inconsistencies, research information, troubleshoot routine issues, and recommend appropriate solutions. Ability to exercise sound judgment, professionalism, discretion, and confidentiality when handling donor information, financial information, organizational records, and other sensitive information. Ability to work both i ndependently and collaboratively and to provide effective administrative and project support to the Director of Development and other members of the organization. Ability to adapt to changing priorities and demonstrate flexibility in supporting fundraising campaigns, special projects, events, and community outreach activities. Ability and willingness to work occasional evening and weekend hours in support of fundraising events, community outreach, and other organizational activities. EDUCATION & TRAINING
Bachelor's Degree preferred or equivalent 2-3 years of professional experience required. Prior experience in event coordination, donor management, or community outreach preferred. Experience in nonprofit development, fundraising, or philanthropy is a plus
