The building Secretary provides administrative support to help with the efficient operation of the school. The building Secretary handles phone calls, emails and correspondence, assists with attendance tracking and also supports events and meetings. Some other responsibilities include maintaining records, coordinating schedules, and supporting building leadership with daily tasks.Required Qualifications:
High school diploma or equivalent Excellent computer skills including Microsoft Office Excellent secretarial skills Excellent bookkeeping/money management skills Excellent communication and language skills, both written and verbal Excellent organizational skills Excellent student, staff, and public relations skillsDesired Qualifications:
Familiarity with Skyward, Google Docs, Social Media and Online Content Management Work experience in a school office Elementary school work experience and knowledge of Elementary School programs Ability to relate well with students, parents, and school personnelJob Description:
Processes written correspondence (e.g. newsletters, memorandums, calendars, programs, notices, minutes, etc.) as directed by the principal Provide secretarial and administrative support to the lead principal and assist with all building operations and bookkeeping needs. Support a full array of services provided to students, parents, instructional and support employees, including communicating information, problem-solving, material and supply acquisition, cash handling, record keeping, and numerous other duties. Create, update, and maintain Alaiedon Elementary online calendars and the MHS website. Coordinate all activities for scholarship awards night and graduation, including but not limited to pictures, caps and gowns, diplomas, student fees, correspondence with graduates, parents, and company representatives, and all other related activities associated with graduation. Coordinate substitutes and work patiently with substitute staff and facilitate their schedules and duties within the building. Maintain Elementary school textbook inventory, individual classroom inventories, key inventory, supply inventory, and office inventories. Coordinate materials regarding the start of the school year, Parent/Teacher Conferences, and other meetings/events/activities. Work collaboratively with office staff and be an effective team player. Supervise and delegate all aspects of running an effective and efficient office. Responsible for ordering and/or processing building purchase orders and/or requisitions, including textbooks, teaching supplies, equipment, etc. from the building budget. Demonstrate proficiency with accounting skills required for the building budget, internal associated accounts, student fees, banking, and all related bookkeeping duties. Process the principal's correspondence and all other related duties as assigned by the principal. Perform and be proficient in all computer programs relevant to Mason Public Schools Serve as intermediary between parents and teachers by transferring student-related messages Collect and distribute mailings for in-school and out-of-school correspondence Operates and maintains all office machines and other office equipment Maintain an up-to-date supply of routinely used MPS forms, schedules and general office supplies Maintains records of all purchase orders, banking deposits, annual classroom orders, and all other accounting documentation and/or records Process staff absences and submits payroll data to the Administration Office Secure noon, special education, and substitute aides when needed and coordinate Teacher substitutes via Red Rover software and Edustaff. Assist with minor first aid treatment and emergency medical procedures (e.g. EpiPens) as trained Promotes positive school image when dealing with students and the public Maintains confidentiality for all school-related information Performs other duties as assigned by the principal Position requires long periods of sitting and work with computers and phones, as well as occasional lifting of up to 30 pounds.Physical Requirements:
This position requires long periods of standing, sitting, and walking. The position requires occasional lifting of supplies and movement of classroom furnishings during the course of the school day. Work may take place both indoors and outdoors, with the possibility of some travel to other schools or field trip locations.Schedule:
Position begins 2026-2027 School Year, 205 days Monday-Friday, 8:00am-4:00pmCompensation:
