Job Description

The City of West Plains is seeking a versatile and detail-oriented Civic Center Business Office Coordinator to oversee the administrative and operational functions of the West Plains Civic Center's business center, box office, and concessions. This key position is responsible for event planning logistics, preparing estimates and contracts, and coordinating event functions and staffing. The ideal candidate must have exceptional communication and customer service skills, an eye for detail, and the ability to collaborate with lessees and patrons.
Key Responsibilities:
Manages the administrative and operational functions of the business center, box office, and concessions. Facilitates contracts and worksheets for events or facility rentals; negotiates costs and services with vendors; books events; arranges and orders foods, beverages, and supplies. Collaborates with the Civic Center Manager and Civic Center Operations Supervisor to coordinate event or facility rental logistics in compliance with contractual obligations, building policy, life safety, federal, state, and local codes, and ordinances. Works with clients to set up events, maintain financial records, and manage the preparation, presentation, and settlement of event statements. Manages all aspects of the box office operations and computerized ticketing system, including accounting, cash handling, reconciliation, budget management, reporting, and ensuring sound fiscal controls. Managers the facility's concession operations, ensuring that appropriate levels of staffing are achieved and staff is properly trained; orders and maintains proper inventory of food, drinks, and paper supplies for all events and facility rentals.
Qualifications:
High School diploma, GED or equivalent. Associate's degree is preferred; AND Three (3) years full-time professional-level experience in an event center business office; OR An equivalent combination of education and experience that qualifies the individual to have the skills to complete the required job duties.
SALARY AND BENEFITS
This position has a salary range of $24.18 - $33.71 per hour, depending on qualifications and experience. A comprehensive benefit package is also offered, which includes: Medical, Dental, Basic Life/AD&D and Long-Term Disability coverages offered at zero cost to the employee, with dependent coverage offered at the employee's cost. Missouri Local Government Employee Retirement System (LAGERS) which is fully funded by the City (no cost to employee) with vesting after 5 years. Voluntary participation in Vision, Cafeteria Plan IRS Section 125, Deferred Compensation 457(b) Plans, Supplemental Life, Accident, Critical Illness, Hospital Indemnity, and an Employee Assistance Program (EAP). Generous paid time off (PTO) program in which new employees receive eight hours of PTO per pay period.
