Exempt / Non-Exempt (depending on organization) Position Summary The Business Office Manager is responsible for the full scope of financial and administrative operations within a skilled nursing facility. As the sole employee in the business office, this role requires a highly organized, self-directed professional who can manage billing, collections, payroll coordination, resident accounts, and regulatory compliance independently. The Business Office Manager serves as a key liaison between residents, families, staff, and external agencies to ensure accurate financial processes and excellent customer service. Key ResponsibilitiesBilling & Revenue Cycle Management Manage all aspects of resident billing, including Medicare, Medicaid, private pay, and insurance claims. Ensure accurate and timely submission of claims and follow up on denials or discrepancies. Monitor accounts receivable and lead collection efforts, including payment plans and follow-up with responsible parties. Maintain up-to-date knowledge of reimbursement regulations and payer requirements. Resident Accounts & Customer Service Communicate clearly with residents and families regarding billing, charges, and financial obligations. Resolve billing inquiries and disputes promptly and professionally. Financial Operations Oversee daily cash management, deposits, and reconciliation processes. Prepare monthly financial reports related to accounts receivable, collections, and census changes. Assist with budget tracking and provide financial data to the Administrator and corporate office (if applicable). Payroll & HR Support Coordinate payroll processing, including timekeeping review, submission, and issue resolution. Maintain employee records related to payroll and benefits as needed. Support onboarding paperwork and ensure compliance with employment documentation requirements. Compliance & Auditing Ensure adherence to all federal, state, and local regulations related to billing and financial practices in skilled nursing facilities. Prepare documentation for audits and surveys; respond to auditor requests as needed. Maintain organized and secure financial records. Administrative Duties Manage office systems, supplies, and workflow independently. Develop and maintain efficient processes to ensure accuracy and timeliness across all responsibilities. Serve as backup support for reception or administrative functions when necessary. Qualifications Associate's or Bachelor's degree in Business Administration, Accounting, Healthcare Administration, or related field preferred. Minimum of 2-3 years of experience in healthcare billing, preferably in a skilled nursing or long-term care setting. Strong understanding of Medicare, Medicaid, and insurance billing processes. Experience with electronic health records (EHR) and billing software. Proficiency in Microsoft Office Suite, especially Excel. Skills & Competencies Ability to work independently and manage multiple priorities without direct supervision. Strong attention to detail and accuracy in financial data. Excellent communication and interpersonal skills. Problem-solving mindset with the ability to handle sensitive financial situations. High level of integrity and confidentiality. Work Environment Office setting within a skilled nursing facility. Frequent interaction with residents, families, and staff. May require extended hours during billing cycles, audits, or month-end close. Physical Requirements Ability to sit for extended periods and use office equipment. Occasional standing, walking, and light lifting (up to 20 lbs). Additional Notes This position is critical to the financial health and regulatory compliance of the facility. As the sole business office employee, the Business Office Manager must be proactive, resourceful, and capable of functioning effectively in a highly independent role.
