Job Description
An exciting opportunity is available for an experienced administration or governance professional to join a leading independent school based in Springfield , providing high-level administrative and governance support to the Board and senior leadership team. Working 2 days per week through to December 2026 , this role will suit an experienced Executive Assistant, Board Secretary, Company Secretary, Governance Officer or senior administrator who enjoys working in a professional school environment where confidentiality, organisation and attention to detail are paramount. About the Role Reporting to the Company Secretary/PFO, the Assistant Company Secretary will provide comprehensive administrative and governance support to the Board, Board sub-committees, Chair, Deputy Chair, CEO and other key stakeholders. This is a varied role involving Board meeting coordination, preparation of governance documentation, minute taking, maintaining corporate records and supporting key governance processes. Key Responsibilities Provide high-level administrative and secretarial support to the Board, Chair, CEO and Company Secretary/PFO. Coordinate Board and sub-committee meetings, including agendas, papers, minutes, venues and meeting technology. Prepare and distribute Board papers, reports, correspondence and governance documentation. Attend meetings, take minutes, maintain action registers and follow up outstanding actions. Manage the Board calendar, planner, email account and member communications. Maintain corporate records, policies, registers, resolutions and conflicts of interest. Support AGM, Board review, reconstitution, induction and professional development activities. Assist with governance, statutory and compliance requirements, including ASIC and ACNC matters. Coordinate Board events, travel and approved expenses, liaising with Directors, school staff and key stakeholders. Maintain strict confidentiality when handling sensitive Board and organisational information. About You You will be an experienced administration professional who is confident working with senior executives, Directors and other high-level stakeholders. To be successful, you will demonstrate: Previous experience in senior administration, executive support, governance, company secretarial or Board support. Excellent organisation, time management and attention to detail. Strong written and verbal communication skills, including minute taking and formal documentation. Confident managing meetings, competing priorities and deadlines. High level of discretion and professionalism with confidential information. Strong Microsoft Office skills and ability to work independently. Experience within a governance, education, not-for-profit, corporate or public sector environment will be highly regarded.
