Job Description
A3 Consulting, LLC is seeking a skilled and detail-oriented Sr. Business Operations Analyst to join our team supporting a mission-critical Department of Defense (DoD) program. Responsible for providing day-to-day office management that includes but not limited to: assisting in reconciling/resolving inventory issues or concerns, obtaining, and stocking supplies, maintaining the electronic Automated Data Processing (ADP) inventory and office equipment; and monitoring and following up on office equipment maintenance as appropriate, as well as setting up new electronic or hard copy files, preparing records for transfer or destruction, and following approved file plans in accordance with established policies. In this job you will:
Perform record and file management functions, electronic and physical, maintenance, and accurate data gathering and data entry. Assist the Hiring Manager/Supervisor/Leadership/Regional Staff with in-and-out processing of civilian employees in accordance with established regulation. Serve as the primary or back up point of contact for programs such as, but not limited to: travel cards, access lists, building badges and credentials, Identification cards, maintaining working rosters, copier programs, equipment/asset issuance, vehicle assignments, training programs, and non- governmental hiring & employee retirement actions within the assigned Directorate/Division, as required. Research, implement, explain, and articulate agency internal office operational policies, procedures, and requirements referring to a variety of sources utilizing effective oral and written communication skills, as required. Provides applicable phone and desk coverage assistance for the assigned office. Provides business operations support to IS Assistant Director, Deputy Directors, and Division Chiefs, to include coordination of calendar and schedules, coordination and booking travel, preparation, formation, and/or finalization of official correspondence that includes letters, memoranda, interoffice communications, data/metrics, staff summary sheets, and sensitive or classified reports, as required. Assist in the preparation of time and attendance reports by means of an automated system. Resolve problems and respond to routine and non- technical requests for information. Provide assistance in the travel system with creating authorizations (temporary duty travel (TDY) orders), prepare reservations, receive approvals, generate travel vouchers, and receive a split reimbursement between their bank accounts and the Government Travel Charge Card (GTCC) Contractor. Assist division level management in making and processing travel arrangements; processing travel expense report forms, and review requests and the status of issues prior to manager approval. Collaborate and communicate with internal and external stakeholders and respond accordingly to any and all requests, correspondence, and circulation of information. Create and maintain a wide variety of documents to include but not limited to reports, spreadsheets, presentations, etc. Maintain and accurately track records to ensure stakeholders have accurate and current information. Prepare and revise reports, letters, memoranda, statements, forms, and similar documents from handwritten or rough copy materials. Manage correspondence for assigned agency components including monitoring general mailboxes, assigning emails to personnel for action, or loading tasks into Agency Task Management System as appropriate and ensuring requests and Request for Information (RFIs) receive responses in a timely manner.Qualifications for the role:
Bachelor's degree in a relevant field or 10 years of equivalent work experience. Minimum three (3) years of relevant senior business operations and management support. Documented experience with the DoD Correspondence and Task Management System (CATMS) Effective verbal and written communication and group presentation skills to ensure a high level of customer satisfaction. Ability to work effectively and independently manage tasks in a fast-paced environment. Experience providing support in an office environment. Ability to develop and analyze options and recommend solutions to solve complex problems and issues. Strategic thinking, planning, and problem-solving skills. Flexibility and receptiveness to new and different opinions/ideas. Ability to effectively distill and present complex information in written and verbal format to a variety of audiences.Clearance Level:
