This position plays a critical role in supporting daily operations and works closely with the Service, Sales, Delivery, and Accounting teams to maintain exceptional customer service, inventory accuracy, and operational efficiency. Responsibilities Supply Order Fulfillment Process and fulfill customer supply orders received through various channels, including phone, email, and automated supply monitoring systems. Monitor supply requests and ensure timely processing and delivery. Coordinate supply requirements for machine installations with the Delivery Coordinator to ensure all necessary items are available prior to delivery. Monitor backorders and communicate status updates to customers and internal staff. Purchasing Purchase toner, parts, equipment, and office supplies from approved vendors. Create and manage purchase orders. Follow up on open purchase orders and expected delivery dates. Research product availability, pricing, and alternative sourcing options. Maintain strong vendor relationships and communicate any supply chain issues. Assist management in identifying cost-saving opportunities and inventory efficiencies. Receiving & Inventory Control Receive and inspect incoming shipments for accuracy and damage. Verify received products against purchase orders and packing slips. Accurately enter received inventory into company systems. Organize and maintain warehouse inventory locations. Conduct regular cycle counts and assist with physical inventory audits. Monitor and maintain minimum and maximum inventory levels to prevent stock shortages while minimizing excess inventory. Monitor inventory levels and maintain appropriate reorder points. Investigate and resolve inventory discrepancies. Maintain a clean, organized, and efficient warehouse environment. Physically organize inventory, including lifting, moving, pushing, and pulling boxes and packages as needed. Manage the return of toner and supply inventory resulting from equipment upgrades, replacements, and lease returns. Inspect, evaluate, and process returned toner and supply items for reuse, resale, return to stock, or disposal. Return eligible inventory to stock and ensure inventory records are updated accurately. Identify excess, obsolete, or surplus inventory and coordinate the sale of approved items to authorized surplus inventory buyers and recycling partners. Maintain accurate documentation of inventory transfers, returns, surplus sales, and inventory adjustments. Customer Service Answer customer inquiries regarding supply availability, order status, and product compatibility. Troubleshoot basic printer issues related to toner installation and usage. Resolve customer concerns regarding supply orders and deliveries. Provide professional customer service via phone and email. Work closely with the Service, Sales, Delivery, and Accounting teams to coordinate customer needs and inventory requirements. Technical Knowledge Learn and understand toner cartridge compatibility across various printer manufacturers and models. Identify common toner-related printer issues and recommend solutions. Stay informed on new products, technologies, and vendor updates. Qualifications Strong organizational and time management skills. Excellent customer service and communication abilities. Strong attention to detail and accuracy. Basic computer skills, including Microsoft Outlook, Word, and Excel. Ability to learn inventory and business management software. Ability to work independently and as part of a team. Prior experience in purchasing, inventory control, warehouse operations, customer service, or the office equipment industry is preferred but not required. Physical Requirements Ability to lift, carry, push, and pull packages weighing 25-40 pounds on a regular basis. Ability to stand, walk, bend, and move throughout the warehouse during the workday.
