Job Description

Position Summary:
The Purchasing Coordinator is responsible for supporting procurement operations by sourcing raw materials, packaging components, and services required for nutraceutical production. This role ensures timely purchasing, accurate ERP data entry, supplier communication, and adherence to company quality standards and regulatory requirements. The Purchasing Coordinator works cross-functionally with Quality, Operations, Research and Development, and Finance teams to maintain supply continuity and cost efficiency. The ideal candidate is a detail-oriented and highly organized professional who takes a proactive approach to problem-solving. They demonstrate strong follow-up skills and a consistent focus on data accuracy, ensuring tasks are completed thoroughly and efficiently. As a collaborative team player, they communicate effectively and contribute positively to group efforts, while maintaining a cost-conscious mindset that supports smart decision-making and operational efficiency.
Essential Functions:
  • Ensure all internal and external customer requirements and requests are understood, prioritized, and fulfilled promptly and accurately.
  • Adhere to company Policies and Standard Operating Procedures. Procurement Operations
  • Create and manage purchase orders for raw materials, packaging, and indirect supplies.
  • Maintain accurate item pricing, supplier details, and lead times in ERP system.
  • Monitor open purchase orders and ensure on-time delivery to support production schedules.
  • Communicate with suppliers regarding order confirmations, shipment status, and discrepancies.
  • Coordinate order changes, cancellations, and expedite requests as needed. Supplier Coordination
  • Assist with supplier onboarding and qualification documentation (W-9, COA, specifications, agreements).
  • Maintain supplier contact records and ensure documentation is current. Inventory & Production Support
  • Collaborate with planning and production teams to forecast material requirements
  • Monitor inventory levels and reorder points to prevent stockouts.
  • Review BOM component requirements to ensure material availability for manufacturing. Quality & Compliance
  • Ensure purchased materials meet company specifications and regulatory requirements.
  • Maintain documentation related to Certificates of Analysis (COAs), specification sheets, and compliance records.
  • Support internal audits by ensuring procurement documentation is accurate and accessible.
  • Follow company SOPs related to purchasing and supplier management. ERP & Reporting
  • Enter and maintain purchasing data within ERP system.
  • Track historical pricing trends and identify cost savings opportunities.
  • Maintain accurate records of purchase order status, approvals, and attachments.
Required Education and Experience:
  • 2+ years experience in purchasing, procurement, or supply chain coordination
  • Experience working in manufacturing, food, supplement, or nutraceutical industry.
  • Proficiency in ERP systems (Cin7 Core, NetSuite, SAP, or similar).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work with allergens as defined by the FDA (milk, eggs, fish, Crustacean shellfish, tree nuts, peanuts, wheat, and soybeans). Preferred
  • Experience working with Bills of Materials (BOMs).
  • Familiarity with supplier qualification documentation.
  • Experience coordinating freight or working with logistics providers.
Pay:
$25.00
