Administrative Associate III - Supplier Onboarding Support (Ivalua) Are you highly organized, detail-oriented, and passionate about delivering a great supplier experience? We are seeking an Administrative Associate III - Supplier Onboarding Support to help drive a smooth and efficient supplier onboarding process using the Ivalua Supplier Relationship Management (SRM) platform . In this role, you will work closely with suppliers, buyers, program teams, and internal stakeholders to ensure onboarding documentation is completed accurately, approvals move forward efficiently, and supplier records are maintained with the highest level of quality and compliance. Key Responsibilities Supplier Onboarding & Coordination Proactively engage suppliers through Ivalua's in-platform messaging tools. Provide clear guidance and instructions to ensure onboarding documents, forms, and compliance requirements are completed accurately and on time. Support suppliers throughout the onboarding lifecycle and address questions related to onboarding requirements. Technical & Process Support Serve as the first point of contact for suppliers experiencing technical or procedural onboarding challenges. Assist with troubleshooting issues and collaborate with Local Data Stewards to resolve data entry errors, system issues, and workflow obstacles. Help suppliers navigate onboarding processes and system requirements efficiently. Escalation Management Monitor supplier responsiveness and identify onboarding delays. Escalate non-responsive suppliers to the appropriate Buyer for outreach, contact verification, and follow-up. Identify approval workflow bottlenecks and escalate issues to the appropriate internal teams to help maintain onboarding timelines. Communication & Stakeholder Engagement Maintain regular communication with suppliers and internal stakeholders, including Buyers and Program Managers. Provide updates on onboarding status, timelines, risks, and outstanding requirements. Foster positive working relationships across departments and business teams to support organizational goals. Reporting & Administrative Support Update tracking tools, metrics, and dashboards to reflect real-time supplier onboarding progress. Monitor onboarding activity and provide visibility into pipeline status, throughput, and potential risks. Maintain accurate records and documentation throughout the onboarding process. Perform additional administrative and operational duties as assigned. QualificationsRequired Qualifications High School Diploma or equivalent required. Two (2) or more years of related administrative, supplier support, procurement, or operational experience. A Bachelor's or Master's degree from an accredited institution may substitute for up to two years of related experience. Preferred Qualifications Experience in procurement , supply chain operations , supplier onboarding , or supplier management . Familiarity with Ivalua , Supplier Relationship Management (SRM) platforms, or similar procurement technology systems. Strong written and verbal communication skills with the ability to guide external partners through administrative and technical processes. Ability to troubleshoot routine system and workflow issues and coordinate resolutions across multiple teams. Excellent organizational skills and attention to detail. Ability to manage a high volume of supplier onboarding activities simultaneously while maintaining accuracy. What Makes You Successful Strong customer service and relationship-building capabilities.
