Our company is hiring an experienced Procurement Manager to oversee the purchasing and supply planning of fresh produce. This is a hands-on buying position responsible for maintaining product availability while controlling costs, product quality, inventory exposure, and shrink. The Procurement Manager will develop strong relationships with growers, exporters, importers, brokers, and domestic suppliers. This position works closely with Sales, Quality Control, Logistics, Receiving, Inventory, Accounting, and Management. Responsibilities:

Purchase fresh produce based on sales demand, customer programs, open sales orders, inventory levels, incoming product, seasonality, and forecasts. Maintain sufficient product availability while avoiding over-purchasing, excess inventory, and unnecessary exposure on perishable products. Review on-hand inventory, aging inventory, incoming product, open sales orders, and projected demand before making purchasing decisions. Create and maintain accurate purchase orders. Confirm product quantities, pricing, specifications, pack sizes, shipping dates, and expected arrival dates with suppliers. Identify potential product shortages early and secure qualified alternative supply when necessary. Develop and maintain relationships with growers, exporters, importers, brokers, and domestic suppliers. Continuously identify and qualify new supply sources. Negotiate pricing, payment terms, volume commitments, freight arrangements, and purchasing programs. Maintain multiple sourcing options for critical products to reduce supply risk. Evaluate suppliers based on product quality, pricing, reliability, service, claims performance, and consistency. Monitor daily market pricing, product availability, and industry trends. Evaluate total landed cost, including purchase price, freight, packing or repacking costs, usable yield, and shrink. Communicate significant market changes, price movements, shortages, and purchasing risks to Sales and Management. Work with Sales to ensure purchasing decisions support customer programs, promotions, volume requirements, and target margins. Ensure suppliers understand the company's and customer's requirements for product quality, size, grade, packaging, and labeling. Coordinate with Quality Control on new-vendor approval and inbound product inspections. Review quality-control reports and immediately address quality problems with suppliers. Negotiate credits, claims, replacements, or price adjustments for products that do not meet specifications. Track recurring supplier quality problems and ensure corrective action is taken. Review inventory levels daily and support proper product rotation and FIFO practices. Identify slow-moving, aging, excess, or quality-risk inventory before it becomes a loss. Work with Sales and Operations to move aging or excess inventory before product quality deteriorates. Coordinate product arrivals with the Logistics and Transportation teams. Confirm pickup dates, vessel or flight schedules, container information, trucking requirements, and expected delivery dates. Monitor delayed shipments and immediately communicate any potential shortages or changes in arrival. Ensure required commercial and shipping documents are received from suppliers. Assist with shortages, damaged products, rejected loads, temperature issues, and other receiving discrepancies. Ensure purchase-order pricing and quantities match supplier confirmations and invoices. Resolve discrepancies involving invoices, quantities, freight charges, credits, claims, and payment terms. Maintain organized documentation supporting purchases, supplier agreements, credits, and claims. Provide Management with a concise daily procurement update

Requirements:

3 to 5 years of purchasing, procurement, or buying experience in fresh produce or another highly perishable food category, or an equivalent combination of education, training, and directly relevant experience. Advanced knowledge of fresh produce, including production, distribution, seasonality, product availability, quality specifications, and market trends. Demonstrated experience managing demand-based purchasing, perishable inventory, FIFO rotation, aging inventory, and shrink. Strong ability to develop and manage business relationships with growers, suppliers, brokers, exporters, and importers. Proven ability to negotiate product pricing, payment terms, freight arrangements, purchasing programs, and supplier claims. Ability to evaluate landed costs and understand how product cost, freight, packing, usable yield, and shrink affect profitability. Ability to analyze inventory, market conditions, sales demand, and supply risks when making purchasing decisions. Strong analytical, organizational, problem-solving, prioritization, and time-management skills. Ability to work independently with accuracy and urgency in a fast-paced warehouse and produce environment. Strong written and verbal communication skills. Ability to collaborate effectively with Sales, Quality Control, Logistics, Receiving, Inventory, Accounting, and Management. Advanced working knowledge of Microsoft Windows, Excel, Word, Outlook, and SharePoint. Knowledge of PPro or a comparable produce or purchasing system is a plus.
