Job Description

TITLE:
Purchasing & Planning Representative Classification:
Non-Exempt Summary/Objective:
This position will be filled by two individuals who will share and divide responsibilities based on strengths, experience, and scheduling needs. Both individuals will be cross-trained in each other's roles to ensure continuity and team support. The Purchasing & Planning Representative is responsible for coordinating purchasing, material planning, receiving, inventory accuracy, warehouse organization, and production support activities to help Toroid meet customer delivery requirements and operate efficiently. This role combines the core responsibilities of purchasing and production planning by ensuring materials are sourced cost-effectively, received accurately, organized properly, and available when needed for Toroid transformer, IsoBox, and future product lines This position requires strong ERP discipline, close collaboration with production, engineering, sales, and finance, and a team-oriented approach. Toroid intends to hire two individuals into this role, and both team members will be expected to work closely together, cross-train thoroughly, share responsibility, communicate proactively, and provide coverage for one another to create a dependable and efficient planning and purchasing function.
Essential Functions:

Manage the day-to-day purchasing process for raw materials, components, packaging, and other items required for production and operations. Manage the full purchasing lifecycle, including sourcing, vendor communication, price negotiation, purchase order execution, order tracking, and follow-up. Run and analyze MRP and related planning reports in JobBOSS or other company systems to align purchasing activity with production schedules, customer orders, and forecasted demand. Plan and help manage production schedules and work order readiness to support customer delivery requirements and efficient use of company capacity. Process work orders using the scheduling system, including preparing and releasing jobs to the production floor as needed. Coordinate closely with production, engineering, sales, receiving, warehouse personnel, and finance regarding material status, job priorities, schedule changes, and delivery requirements. Analyze sales order releases and production requirements to help ensure material availability and proper job timing. Forecast material requirements for Toroid and IsoBox production and take timely action to avoid shortages, delays, or unnecessary overstocking. Track open orders, backorders, late deliveries, shortages, and discrepancies, and follow through with vendors until issues are resolved. Develop and maintain strong vendor relationships, including sourcing, price negotiation, lead-time management, and evaluation of supplier performance. Support second-source and alternate-supplier efforts to improve cost, continuity of supply, and overall vendor reliability. Ensure timely and accurate receipt of incoming materials and coordinate resolution of discrepancies involving packing slips, invoices, quantities, damage, or late shipments. Match invoices to receiving records and purchase orders as needed to support accurate internal processing. Maintain accurate inventory records through cycle counts, physical counts, reconciliation, system review, and transaction accuracy. Enter and maintain accurate purchasing, inventory, receipt, and planning data in JobBOSS and related systems. Help oversee warehouse organization, including logical storage locations, labeling, stock placement, storage efficiency, cleanliness, and general orderliness so materials can be found and moved efficiently. Assist with keeping the warehouse, receiving, stockroom, and inventory areas clean, organized, safe, and audit-ready. Create, maintain, update, and distribute production paperwork in accordance with approved instructions and company requirements. Document and update paperwork changes and maintain accurate records related to production and inventory processes. Help assign and coordinate machine and material readiness information needed to support production flow. Scan, file, organize, and maintain production records and supporting documentation as required. Enter inventory transactions for IsoBox and Toroid materials and support inventory accuracy across all applicable areas. Answer internal questions related to material availability, order status, cancellations, scheduling impacts, and inventory needs. Use Microsoft Excel and company systems to analyze trends, track shortages, support reporting, and improve decision-making. Ensure all purchasing, planning, inventory, and warehouse-related activities comply with company policies and procedures. Work effectively with colleagues in the same or similar role, sharing information, cross-training thoroughly, covering for absences, and helping create a dependable team-based planning and purchasing function. Continuously identify opportunities to improve purchasing discipline, planning accuracy, inventory control, warehouse organization, vendor performance, and ERP data integrity.

Associate's degree or bachelor's degree preferred, but may be substituted with relevant on-the-job experience. At least 2-3 years of experience in purchasing, inventory control, production planning, materials coordination, or a related manufacturing role preferred. Experience using an ERP/MRP system required; JobBOSS experience strongly preferred. Strong computer skills, including Microsoft Excel and general business software. Experience in a manufacturing environment preferred.

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Personal Protective Equipment:
This job does not require PPE in our office environment. If there is a requirement to enter Production Area, use of safety glasses and steel toe shoes is required.
Work Environment:
This work is performed in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Pay:
$38,000.00 - $58,000.00 per year
