PRIMARY RESPONSIBILITIES
The Purchasing & Logistics Coordinator is responsible for ensuring the timely procurement, inventory availability, and efficient movement of goods throughout the supply chain. This role supports daily operations by managing inventory levels, coordinating inbound shipments, overseeing purchase orders, and working closely with suppliers, third-party logistics providers (3PLs), and internal teams. The position plays a critical role in maintaining product availability in order to fulfill client orders on a timely basis, controlling logistics costs, supporting new location openings, and driving operational efficiency across the organization.
KEY RESPONSIBILITIES
  • Manage inventory levels across suppliers and third-party logistics (3PL) providers and distribution partners.
  • Monitor and manage long lead-time inventory to ensure product availability and minimize stockouts.
  • Coordinate inbound shipments and track delivery schedules to support operational needs.
  • Create, maintain, and reconcile purchase orders (POs) for 3PL providers.
  • Collaborate with vendors, warehouses, and transportation providers to resolve shipment issues and discrepancies.
  • Process and manage freight claims, ensuring timely resolution and cost recovery.
  • Support clients' new location openings by coordinating procurement, inventory deployment, and logistics activities.
  • Arrange and manage non-contract Less-Than-Truckload (LTL) shipments while controlling transportation costs.
  • Maintain accurate inventory, purchasing, and logistics records within company systems.
  • Identify opportunities to improve supply chain efficiency, inventory accuracy, and service levels.
QUALIFICATIONS
  • Bachelor's degree in supply chain management or experience in business supplies and distirubtion industry field preferred.
  • 4+ years of experience in purchasing, inventory management, logistics, or supply chain operations.
  • Experience working with 3PL providers, freight carriers, and suppliers.
  • Knowledge of inventory control, purchase order management, and freight claim processes.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Excel, including VLOOKUP, PivotTables, data analysis, reporting, and spreadsheet management
  • Experience using ERP systems and inventory management software, with NetSuite experience preferred.
