Job Description

Summary:
We are seeking a detail-oriented and organized Procurement Administrative Assistant to support our procurement team. The ideal candidate will assist with the daily administrative operations of the procurement department, ensuring the smooth and efficient handling of purchase orders, supplier communications, and inventory tracking. This role requires excellent organizational skills, a strong understanding of procurement processes, and the ability to work collaboratively in a fast-paced environment.
Duties:

Purchase Order Management:
Prepare, review, and process purchase orders, ensuring accuracy and compliance with company policies.
Supplier Coordination:
Communicate with suppliers to confirm orders, delivery dates, and resolve any issues related to orders or invoices.
Inventory Tracking:
Assist in monitoring and maintaining inventory levels, ensuring that stock levels are aligned with company requirements.
Documentation:
Maintain accurate records of procurement activities, including purchase orders, invoices, and delivery receipts.
Administrative Support:
Provide general administrative support to the procurement team, including scheduling meetings, preparing reports, and maintaining departmental files.
Data Entry:
Input and update procurement-related data in the company's ERP system, ensuring that information is accurate and up to date.
Vendor Relations:
Support the procurement team in developing and maintaining positive relationships with suppliers and vendors.
Compliance:
Ensure all procurement activities adhere to company policies, procedures, and relevant regulations.
Qualifications:
Education:
High school diploma or equivalent; Associate's degree in Business Administration or a related field is preferred.
Experience:
1-2 years of experience in a procurement or administrative role.
Skills:
Strong organizational and time management skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with ERP systems is a plus. Ability to work independently and as part of a team. Attention to detail and accuracy in data entry and documentation.

Ability to multitask and prioritize tasks in a fast-paced environment. A proactive approach to problem-solving with strong decision-making skills. Willingness to learn and adapt to new processes and systems.
