This position works closely with Parts, Service, Sales, and Operations teams to ensure inventory availability while maintaining optimal inventory levels and controlling costs. The Parts Purchasing Coordinator develops vendor relationships, monitors inventory trends, and coordinates purchasing activities to maximize equipment uptime and departmental profitability. Essential Duties and Responsibilities Purchasing & Procurement Purchase parts, components, and related materials in accordance with company policies and inventory requirements. Generate and manage purchase orders for stock, emergency, and special-order parts. Monitor supplier lead times and ensure timely delivery of purchased items. Source parts from approved vendors while obtaining competitive pricing and favorable terms. Track open purchase orders and proactively follow up on delayed shipments. Expedite critical orders to support customer and service department needs. Inventory Management Analyze inventory usage, demand trends, and stocking levels to maintain optimal inventory availability. Recommend and implement inventory replenishment strategies. Monitor inventory turnover, fill rates, and stock-out occurrences. Assist in reducing excess, obsolete, and slow-moving inventory. Participate in inventory audits, cycle counts, and annual physical inventories. Maintain accurate inventory records and purchasing data within company systems. Vendor Management Develop and maintain strong relationships with manufacturers, distributors, and suppliers. Evaluate supplier performance related to pricing, availability, quality, and delivery. Assist in negotiating pricing, freight terms, and purchasing agreements. Coordinate returns, warranty claims, and vendor credits. Resolve purchasing discrepancies and invoice-related issues. Internal Coordination Collaborate with Parts, Service, and Sales departments to forecast inventory needs. Ensure parts availability for scheduled service work and customer orders. Communicate order status, lead times, and supply chain issues to internal stakeholders. Assist branch locations with inventory transfers and procurement support. Data Analysis & Reporting Review purchasing reports and inventory metrics regularly. Analyze purchasing patterns and recommend cost-saving opportunities. Prepare reports related to inventory levels, purchasing activity, vendor performance, and stock shortages. Support departmental budgeting and inventory planning initiatives. Administrative Responsibilities Maintain accurate purchasing documentation and records. Ensure compliance with company purchasing procedures and approval requirements. Verify purchase order, receiving, and invoice accuracy. Assist with ERP system maintenance related to inventory and purchasing data. Qualifications Experience Minimum of 2 years of purchasing, inventory control, parts, warehouse, or supply chain experience preferred. Experience in heavy equipment, construction equipment, industrial equipment, trucking, manufacturing, or related industries preferred. Knowledge, Skills, and Abilities Strong understanding of purchasing and inventory management principles. Excellent organizational and planning skills. Strong analytical and problem-solving abilities. Ability to interpret inventory reports and purchasing data. Effective negotiation and vendor management skills. Strong communication and customer service skills.
