Job Description

The Procurement Agent is responsible for sourcing, purchasing, and assist Parts Manager in managing inventory for all operational needs of the company. This includes truck parts, maintenance supplies, office materials, and other essential items required to keep the fleet and business running efficiently. This role directly supports uptime, cost control, and overall operational performance. Key Responsibilities Purchasing and Sourcing Procure truck parts, tools, and maintenance supplies to support fleet repairs and preventative maintenance Purchase office supplies and operational materials across all departments Source vendors, request quotes, and negotiate pricing to ensure best value Establish and maintain strong relationships with suppliers and service providers Inventory Management Assist Parts Manager in maintaining accurate inventory levels for critical parts and supplies Track usage trends and forecast purchasing needs Implement inventory control processes to prevent shortages or overstock Coordinate with maintenance and operations to ensure timely availability of parts Cost Control and Efficiency Monitor purchasing costs and identify opportunities for savings Ensure purchases align with budgets and company standards Evaluate vendor performance on pricing, quality, and delivery timelines Coordination and Communication Work closely with Parts Manager, Maintenance, Operations, and Office staff to understand needs Ensure timely delivery of parts and supplies to minimize downtime Resolve issues related to orders, delays, or defective items Maintain accurate purchasing records and documentation Key Competencies Minimize fleet downtime by ensuring parts availability Maintain accurate and organized inventory systems Control costs while maintaining the quality and reliability of supplies Ensure timely and efficient procurement processes Qualifications Experience in purchasing, procurement, or inventory management (transportation or fleet experience preferred) Knowledge of truck parts, maintenance operations, or heavy equipment is a plus Strong negotiation and vendor management skills Highly organized with strong attention to detail Ability to manage multiple priorities in a fast-paced environment Proficient in Microsoft Office and inventory/purchasing systems Strong communication and problem-solving skills Position Impact This role plays a critical part in: Reducing fleet downtime by ensuring the timely availability of parts Controlling costs through effective sourcing and vendor management Improving the efficiency of maintenance and operations teams Maintaining accurate inventory and preventing shortages or overstock Supporting overall operational continuity and performance
