Job Summary A mission-driven nonprofit organization in Ventura, CA is seeking a Bilingual Executive Admin to provide high-level administrative support to executive leadership, the CEO, senior management, and the board of directors. This direct hire opportunity is ideal for a highly organized, detail-oriented administrative professional who thrives in a fast-paced environment and enjoys supporting leadership, board operations, special projects, and community-focused work. This role offers the opportunity to work closely with executive decision-makers in a collaborative, values-based environment that emphasizes professionalism, service, diversity, equity, and inclusion. The ideal candidate will bring strong communication skills, sound judgment, confidentiality, and the ability to manage multiple priorities while supporting a positive and mission-focused workplace culture. Key Responsibilities
  • Provide confidential executive administrative support to the CEO, executive leadership, and board of directors, including calendar coordination, correspondence, reports, and special projects.
  • Prepare, edit, proofread, and organize complex documents, including memos, board materials, meeting packets, resolutions, reports, and official correspondence.
  • Coordinate board meetings, management meetings, staff meetings, and ad hoc meetings, including agendas, packets, minutes, follow-up items, and official records.
  • Arrange travel, lodging, conference registrations, training logistics, and reimbursement requests for executive staff and board members.
  • Serve as a professional liaison with staff, board members, outside agencies, vendors, tenants, community members, and the public.
  • Support office operations, front desk coverage, event planning, conference room scheduling, tenant relations, work orders, and maintenance coordination. Compensation and Benefits
  • Pay range: $24.00 to $28.85 per hour.
  • Full-time, non-exempt position.
