Job Description

Senior Client Service Associate & Operations Lead Position Overview We are a premier, fast-growing private wealth management firm looking for an elite, high-performing Senior Client Service Associate & Operations Lead to join our team on-site in our office. This is a purely administrative and operational role (no licenses required) designed for an industry veteran who thrives on execution, precision, and organization. You will serve as the operational backbone of our firm, leading our client services team of three associates, managing complex workflows, and ensuring that client account management moves with absolute speed and accuracy. The ideal candidate has a deep, practical understanding of both RIA and Broker-Dealer platforms, possesses zero-tolerance for administrative lag, and has the natural leadership ability to train, mentor, and grow our client services department.

Monday - Friday, 9:00 AM - 5:00 PM (No hybrid options)
Experience Required:
5+ years of dedicated wealth management operations experience Key Responsibilities Operational Execution & Accuracy Manage the end-to-end lifecycle of account opening, onboarding, and ongoing maintenance across both our RIA and Broker-Dealer platforms. Execute and oversee flawless asset movements, including complex account transfers (ACATS), liquidations, wires, ACHs, journals, and RMD processing. Coordinate directly with institutional custodians, broker-dealers, and third-party carriers to push administrative tasks to completion quickly and efficiently. Maintain meticulous digital filing and document organization protocols, ensuring all client files and statements are renamed and archived strictly according to firm standards. Team Leadership & Process Management Lead, mentor, and coordinate daily tasks for our existing three-person client services team, ensuring balanced workloads and seamless team coverage. Serve as the final line of defense for quality control, reviewing team output for accuracy before submission. Develop, document, and implement reproducible operational workflows to prepare the service team for future growth and scale. Onboard and train new operational hires as the firm continues to expand. CRM Ownership & Communication Utilize Wealthbox as the single source of truth—ensuring every account transfer, money movement, and client touchpoint is tracked, updated, and transparent in real time. Anticipate advisor and client needs; ensure that internal communication loops are so tight that advisors never have to ask for a status update on pending operations. Coordinate with the team to support financial planning preparation within eMoney and manage calendar/client communication via Outlook .
Qualifications & Technical Skills Industry Experience:
5+ years of hands-on experience in financial services operations (RIA and Broker-Dealer environments are strictly required).
Platform Expertise:
RIA Side:
Experience navigating Goldman Sachs Custody (or similar institutional RIA custodians).
Broker-Dealer Side:
Direct experience working within a BD ecosystem (experience with PKS Investments is a major plus).
Annuity/Insurance Carriers:
Deep familiarity servicing accounts with major variable annuity carriers (e.g., Jackson National, Lincoln Financial, Corebridge).
Software Mastery:
Proficient in Wealthbox CRM , eMoney , and Microsoft Outlook .
Leadership Ability:
Proven track record of managing, training, or leading junior administrative staff within a financial services setting.
