Job Description
We are seeking a highly organized and detail-oriented Department Administrator to support fire life safety and tenant improvement (TI) projects from award through closeout. This role is ideal for someone who thrives in a structured, fast-moving environment and enjoys keeping projects organized, accurate, and on track. You will play a key role in supporting project teams, customers, and subcontractors by ensuring documentation is complete, systems are updated, and project workflows move smoothly from start to finish. What You'll Do Support project setup for newly awarded fire life safety and TI projects Maintain accurate project records, documentation, and CRM updates Track project tasks, milestones, and administrative workflows Coordinate prequalification and compliance documentation for subcontractors and vendors Assist with onboarding new customers and subcontractors, ensuring required forms are completed Collect and organize CAD files, drawings, and supporting project documentation Prepare project closeout packages, including warranties, as-builts, and final documentation Coordinate subcontractor requests, quotes, and approval workflows Support purchasing, vendor coordination, and department administrative operations Provide backup administrative support across the team as needed 3+ years in an administrative role High school diploma (or equivalent) Punctuality and regular attendance Physical Demands & Work Environment Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily Ability to walk, bend, stoop, hear, and speak, daily Move/Transport items weighing 20 pounds, occasionally Stand or Sit for long periods (4+ hours), daily At TRL Systems, we've been keeping people and their property safe for over 42 years.
