No What We Do/Project This role will handle multiple administrative duties in support of the BA Team which oversees the Credits/Talent Tracking and Clip Licensing for HBO/ Max. Our team interacts with every department involved in making TV programming, deals directly with showrunners, producers, post producers, guilds, film commissions, vendors, etc. Every show, and day, is unique-and we keep it fun! Job Responsibilities / Typical Day in the Role Licensing Responsibilities include
  • Under supervision, receive, track and process all internal and external requests for WBD-owned clips, stills, screenings and company-owned IP for HBO, Max, Turner Titles. This position works closely with a VP and Coordinator as well as attorneys, production and post, and marketing/publicity to follow licensing protocol for 3rd Party and internal requests.
  • Admin receives and processes requests from potential licensees, assessing viability, gathering all necessary information, obtaining any necessary internal approvals, guiding the licensee through the licensing process, fulfilling the request to the benefit of WBD and other parties.
  • Organizes and updates licensing Smartsheet tracking all requests, in-process and fulfilled.
  • Logs FE licenses and distributes to final document archive
  • Communicates with various team members (legal, production, publicity/marketing, etc.) for licensing approvals
  • Drafts license agreements, manages getting them fully-executed by all parties, authorizes and tracks payments, handles the transfer of media to licensee.
  • Updates and maintains archive of License Agreement Templates, rate sheets, samples of request types, backup of company practice & protocols, and WB Clip Licensing templates and procedures.
Credit/Talent Tracking Responsibilities include:
  • Admin Support for 3 busy executives including scheduling, tracking deadlines; updating workflow memos, templates, file archives; setting up Show Talent Obligations Memos; updating and editing FAQ's Databases, Contact Lists, Credit Packet of Protocols and Examples
  • As the role grows, this position may take on more credit approval duties.
