Job Description

Contracts Administrator (Construction)For more than 60 years, we have been one of the leading builders in North America, with our headquarters located in Los Angeles and operations spread throughout California and Arizona. We are a reputable employee-owned general contractor witha large portfolio in the healthcare, aerospace, entertainment, luxury retail, housing, and energy markets. We are capable of completing sophisticated and highly technical tenant upgrades within operational buildings as well as large-scale ground-up projects.

Position OverviewWe are seeking a detail-oriented Contracts Administrator to support our construction projects by managing contract documentation, ensuring compliance with contractual obligations, and facilitating communications between clients, subcontractors, and internal teams. The role focuses on contract preparation, administration, risk mitigation, and record-keeping to help deliver projects on time and within budget.

Key ResponsibilitiesPrepare, review and maintain contract documents, amendments, change orders, and associated correspondence for construction projects.

Administer contract lifecycle activities including tender evaluations, award documentation, and contract closeout procedures.

Monitor and track key contractual milestones, deliverables, payment schedules, and warranty periods; follow up on outstanding items.

Coordinate with project managers, legal counsel, procurement, and subcontractors to resolve contractual issues and clarify scope or terms.

Ensure contractual compliance with company policies, regulatory requirements, and client specifications; identify and escalate risks or disputes promptly.

Maintain accurate and auditable contract records, version control, and a centralized filing system for easy retrieval.

Support claims management: gather documentation, prepare claims or responses, and assist in negotiation or dispute resolution as required.

Assist with preparing reports and summaries on contract status, obligations, and financial impacts for senior management.

Implement and improve contract administration processes, templates, and checklists to increase efficiency and reduce exposure.

QualificationsBachelor's degree in Construction Management, Business Administration, Law, or a related field, or equivalent practical experience.5+ years of experience as a Contracts Administrator or in a contracts-focused role within the construction industry preferred.

Strong knowledge of contract types, terms and conditions, change order management, and risk allocation in construction contracts.

Familiarity with construction procurement, subcontract agreements, and industry-standard contract forms (e.g., NEC, FIDIC, JCT) is advantageous.

Excellent attention to detail, organizational and document management skills with the ability to manage multiple contracts concurrently.

Effective communication and negotiation skills; comfortable liaising with clients, subcontractors, project teams, and legal advisors.

Proficiency with contract management systems, Microsoft Office (Word, Excel), and document control tools; experience with construction ERP or project management software is a plus.

Professionalism, integrity, and a problem-solving mindset with the ability to work independently and as part of a team.
