Role Description The Warranty Administrator is responsible for coordinating, submitting, and tracking warranty claims to ensure accurate and timely reimbursement from manufacturers. This full-time role is on-site in Mission Viejo, CA and involves close collaboration with service advisors, technicians, and accounting teams to verify repair documentation and compliance with warranty policies. Daily responsibilities include reviewing repair orders, confirming coverage, entering data into warranty and dealership management systems, and following up on pending claims or discrepancies. The role also involves maintaining organized records, staying current with manufacturer guidelines and bulletins, and providing clear communication to internal teams regarding claim status and warranty procedures. The Warranty Administrator supports customer satisfaction by helping ensure service work is correctly authorized and processed under applicable warranties. Qualifications Strong skills in Warranty Administration, including experience processing and tracking manufacturer warranty claims. Customer Service and Customer Satisfaction skills, with a commitment to delivering a positive experience to guests and internal stakeholders. Effective Communication skills, including the ability to explain warranty guidelines and collaborate with technicians, advisors, and management. Computer Literacy skills, including proficiency with dealership management systems, warranty portals, and standard office software. Attention to detail, organizational skills, and the ability to manage multiple claims and deadlines accurately. Prior experience in an automotive dealership service department or similar environment is preferred. Working knowledge of manufacturer warranty policies and repair order documentation is beneficial. High school diploma or equivalent required; post-secondary education or relevant certifications in automotive or business fields are a plus.
