Known for quality workmanship and innovative engineering solutions, the company specializes in delivering complex mechanical projects across various trades, including HVAC, sheet metal, pipe fitting, and temperature control. Job Overview We are seeking a detail-oriented and proactive Contracts Administrator to join our dynamic team. In this vital role, you will oversee the entire lifecycle of contractual agreements, ensuring compliance, accuracy, and timely execution. Your expertise will help streamline project workflows and support our commitment to delivering high-quality mechanical solutions on schedule. Duties
  • Perform administrative tasks for all contracts and subcontracts.
  • Responsible for reviewing and processing all contracts and change orders
  • Maintain electronic files for contracts containing original contracts, relevant correspondence, amendments, clarifications and payment schedules
  • Responsible for all certificates of insurance and enrollment in
OCIP/CCIP
for both BCM and sub-contractors.
  • Responsible for enforcing sub-contractor labor compliance documents and enrollment per county guidelines, federal and State requirements.
  • Develop and maintain contract compliance spreadsheet to support certified payroll and prevailing wage requirements until Vista module is fully operational.
  • Monitor and maintain sub-contractor compliance timelines, renewals, and deliverables
  • Coordinate with clients and subcontractors on contractual requirements
  • Ensure all necessary contractual documents are collected and submitted to required partners prior to project start
  • Timely issuance of preliminary notices sent out for every job
  • Process BCM Change orders to sub-contractor
  • Ensure that sub-contract is fully executed prior to the sub-contractor going out on the job Requirements
  • 1-2 years of contract administration experience (HVAC, construction, or mechanical industry preferred)
  • Construction related accounting experience
  • Understanding of construction contracts and project workflows
  • Highly organized with strong attention to detail
  • Excellent communication and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with Vista, Sage, or similar software is a plus
