We are looking for a Proposal Coordinator to join our Marketing Team. The Proposal Coordinator is responsible for supporting, coordinating, and leading the development and delivery of proposals in response to state and municipal agencies. This includes conducting initial research, request for proposal (RFP) review and outlining, content writing, managing schedules, printing and binding, timely submission, internal records filing, and tracking proposal submissions. The ideal candidate is highly skilled in multi-tasking, organized, and able to manage a fast-paced schedule and work environment. We are looking for someone with strong initiative and excellent communication skills who will thrive in a team environment. Duties
- Regularly check RFP websites for opportunities and updates
- Maintain updated company information on supplier portal websites and register the company for new supplier portals as necessary
- Review RFPs to understand the scope of work and proposal requirements
- Develop proposal production schedules and coordinate tasks of proposal team members
- Communicating requirements (including deadlines) to the technical staff and proposal team
- Working with teaming partners and outside consultants to respond to proposals
- Editing and rewriting proposals, including manipulating and creating boilerplate text, such as project profiles and resumes
- Conduct and coordinate quality reviews of proposals to ensure readability, consistency, grammar, style quality, accuracy, and completeness
- Production of proposals (hard copy and/or electronic) for on time submission and delivery
- Ensuring all proposal timelines are met
- Assisting in the development and storage of completed proposals
- Assist with proposal status tracking, record-keeping, and reporting activities
- Supporting other marketing tasks and initiatives as required Requirements
- Bachelor's degree or equivalent experience in management, business, English, writing, journalism, marketing, or related field
- 2+ years marketing, specifically proposal development experience, in a professional services firm
- Detail-oriented, organized, and collaborative
- Strong writing and editing skills (including grammar and punctuation)
- High proficiency in the MS Office Suite (Outlook, Word, Excel, PowerPoint, Project, Teams),
- A good eye for visualization, layout, and/or graphic design skills to facilitate appealing and effective communication
- Efficiently work under pressure in a dynamic deadline-driven environment
- Ability to multitask, be proactive, work independently or in a team setting and establish priorities
