ROLE:
Schnabel is seeking a Contracts Administrator to facilitate compliance with both prime and lower tier subcontracts. The Contracts Administrator reports to the Operations Manager and works closely with Project Managers and Corporate Accounting Staff.
RESPONSI B ILITIES
Maintain monthly and weekly project compliance deadlines. Highly organized, demonstrating strong attention to detail in all tasks and deliverables. Ability to work on multiple projects simultaneously. Assist in preparation and revision of contracts and subcontracts that involve the purchase or sale of goods and/or services. Assist Project Managers in lower tier subcontract compliance to confirm adherence to company standards, legal obligations, and client expectations. Assist with subcontractor onboarding and prequalification Communicate with clients, vendors, and subcontractors regarding contract terms, obligations, and requirements. Cashflow management through collections and pay applications. Knowledge of liability insurance requirements and company coverages to maintain compliance with contracts. Serve as point of contact for project level administrative questions. Process Monthly Subcontractor Invoices Timely submittal of Monthly Invoice to Client Monthly Lien Waiver Compliance and lien rights tracking Subcontractor Contracts and Onboarding MBE/DBE Reporting Assist with LEED reporting Project Specific EEO Obtain tax exempt certificates Certified Payroll and Wage Determination Documentation to Payroll Dept Responsible for requesting Bonds, Surety consents, and lien releases. Collaborate with both project team and corporate leadership on process improvements and issue resolution related to project compliance.
REQUIREMENTS
3 years of documented experience in contract administration or an equivalent role. Will also accept 5+ years of experience as an Office Manager working for a construction, industrial, or manufacturing company. Strong understanding of contract terms, legal language, and basic contract law. Advanced knowledge of Microsoft Office (Word, Outlook, Excel, etc.). Bachelor's degree or equivalent. Driver's license and reliable transportation. Support the company's safety and risk management objectives by adhering to established procedures, proactively identifying and addressing potential risks, and contributing to the achievement of safety goals through the use of metrics and continuous improvement efforts.
