Our team is built on integrity, a strong work ethic, and a commitment to delivering high-quality work for our partners and municipalities. We are seeking a detail-oriented Project Administrator to support project operations and ensure the smooth, compliant, and efficient execution of projects. Position Overview The Project Administrator plays a critical role in supporting project managers, estimators, and field supervisors with all contract-related tasks. This position ensures that contract documents, billing, compliance records, and project documentation are accurate, timely, and aligned with company standards and owner requirements. The ideal candidate has strong construction administrative experience—preferably in heavy civil, utility, or commercial construction—and thrives in a fast-paced environment. Key Responsibilities Prepare, review, and track subcontract agreements, purchase orders, change orders, and contract amendments. Assist with project setup, including insurance certificates, safety documentation, compliance forms, and vendor onboarding. Support estimating and pre-construction efforts with document control, bid bonds, performance/payment bonds, bid document distribution, bid submission, and follow-up tracking. Coordinate with the Project Manager on billing cycles, pay applications, and cost tracking. Assist in the preparation of owner billing, lien waivers, and supporting documentation. Interface with clients, subcontractors, and project stakeholders as needed. Assist with compiling project closeout packages, warranties, and compliance affidavits. Ensure company policies and contractual requirements are satisfied throughout the project lifecycle. Create and distribute meeting minutes. Preferred Qualifications 3-7 years of experience in construction administration within water/wastewater plant construction, heavy civil, underground utility, or commercial construction. Strong proficiency with Microsoft Office (Word, Excel, Outlook) and Revu Bluebeam. Understanding of billing processes, including AIA documents, unit-price billing, cost-plus billing, and progress payment documentation. Familiarity with safety documentation, compliance forms, and project onboarding requirements. Notary Public is a plus.
