Office Admin (222888-14) A construction company in Kapolei is seeking a dependable Administrative Assistant to support office and project operations. This role is highly detail-oriented and document-heavy, with a primary focus on managing construction plans, coordinating documentation with customers and detailers, assisting with subcontract and bidding paperwork, and providing general administrative support. The ideal candidate is organized, comfortable working with plans and files, confident using Word and Excel, and able to manage digital and paper documents accurately in a construction setting. Hours Full-time, Monday to Friday, 7:30am-3:30pm Location Kapolei, Oahu Pay $20 to $23 an hour Responsibilities Assist with new job setup, ensuring accurate entry, organization, and maintenance of project and contract information. Intake subcontracts and bidding documentation, conduct initial reviews to extract key details, and coordinate requested revisions with customers. Manage construction plans and updates, including uploading, downloading, printing, filing, and distributing documents to customers and detailing partners. Maintain organized digital and physical filing systems for plans, contracts, subcontracts, and all job‑related documents. Update and maintain job summary logs to track plan status, revisions, subcontract details, and distribution. Request, track, and maintain certificates of insurance for active projects. Coordinate and process special project requirements such as background checks, TB tests, and badging. Arrange and manage travel logistics, including air, hotel, and car reservations. Download, save, label, and organize electronic files and email attachments to ensure accurate and efficient retrieval. Print and prepare documents, adjusting printer or Adobe Reader settings as necessary. Utilize Microsoft Word and Excel for documentation, tracking logs, and routine data entry. Draft, respond to, and manage professional email communications with customers, vendors, and internal teams. Provide comprehensive administrative support to management and contribute to overall office organization in a construction‑focused environment. Qualifications Previous administrative or office support experience, preferably in construction or a related industry. Strong organizational skills with attention to detail. Comfort working with construction plans, drawings, or technical documents (training provided if needed). Proficiency with Microsoft Word and Excel. Ability to manage digital file systems and maintain consistent naming and folder structures. Experience using email, downloading attachments, and managing electronic files. Basic familiarity with Adobe Reader and office printers. Ability to work independently and follow established processes.
