The Contract - Office Manager plays a key role in creating a welcoming, efficient, and wellorganized office environment that enables teams to do their best work. This parttime, contract position supports daytoday office operations while partnering closely with employees, leaders, vendors, and customers. The ideal candidate is customercentric, authentic in their approach, accountable for outcomes, agile in a dynamic environment, and collaborative across teams-bringing innovative ideas to continuously improve the employee and visitor experience. Duties and Responsibilities Serve as the primary point of contact for the Chicago office, creating a positive, inclusive, and customercentric experience for employees, visitors, and vendors. Manage daytoday office operations, including facilities coordination, office supplies, mail services, and workspace readiness to support business continuity and team productivity. Partner collaboratively with internal teams (e.g., HR, IT, Facilities, and Finance) to ensure office processes align with company policies, safety standards, and operational priorities within a technologydriven Utilities & Energy environment. Coordinate onboarding and offboarding logistics for employees and contingent workers, ensuring a smooth, welcoming, and wellorganized experience. Support planning and execution of onsite meetings, team events, and customer or partner visits, demonstrating accountability for logistics, timelines, and budget considerations. Maintain accurate records related to office expenses, vendor contracts, and inventory, using an organized and detailoriented approach. Identify opportunities to improve office processes and employee experiences by proposing agile, innovative solutions that balance efficiency, cost, and employee needs. Ensure compliance with workplace safety, security, and information protection practices, reinforcing a culture of accountability and trust. Required Skills & Experience Experience in an office management, administrative, or facilities coordination role, ideally within a technologyenabled or professional services environment. Strong customercentric mindset with the ability to communicate authentically and professionally with diverse stakeholders. Proven organizational and timemanagement skills, with the ability to manage multiple priorities in an agile, fastpaced setting. Demonstrated accountability for tasks, followthrough, and attention to detail. Collaborative approach to work, with the ability to partner effectively across teams and adapt to changing business needs. Proficiency with common office and collaboration tools (e.g., Microsoft 365, calendaring systems, basic expense tracking). Ability to work the following parttime scheduled onsite at our Chicago office: Monday through Thursday, 9:00am - 2:00pm CT. Preferred Skills & Experience Prior experience supporting a hybrid workforce or multisite office environment. Familiarity with the Utilities & Energy sector or a technology company serving regulated or infrastructurefocused customers. Experience working with vendors, facilities providers, or building management teams. Interest in continuous improvement and innovation, with examples of streamlining processes or enhancing employee experiences. Exposure to basic budgeting, invoice processing, or procurement coordination.
