Job Summary We are seeking an energetic and highly organized HVAC & Electrical Office Coordinator to join our dynamic team. In this pivotal role, you will oversee the administrative operations of our HVAC (Heating, Ventilation, and Air Conditioning) and electrical departments, ensuring seamless coordination between vendors, clients, and internal teams. Your proactive approach will help streamline scheduling, manage vendor relationships, handle financial documentation, and support project execution. Duties Manage and coordinate service schedules for HVAC and electrical projects, ensuring timely completion and optimal resource allocation Oversee vendor management by maintaining strong relationships, negotiating contracts, and tracking service agreements Handle all administrative tasks including filing, data entry, bookkeeping, and maintaining confidential records with precision Utilize accounting software such as QuickBooks to process invoices, track expenses, and support budgeting efforts Support human resources functions by assisting with onboarding, training & development initiatives, and employee record management Prepare detailed reports using Microsoft Office tools like spreadsheets to monitor project progress, financials, and operational metrics Provide exceptional customer service by communicating effectively with clients, addressing inquiries promptly, and managing front desk responsibilities Requirements Proven experience in office management within HVAC or electrical industries or related technical fields Strong supervisory experience with the ability to lead teams effectively and foster a collaborative environment Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel), spreadsheets, and other financial or accounting software Excellent schedule management skills with the ability to prioritize multiple tasks efficiently Demonstrated vendor management capabilities including contract negotiation and relationship building Knowledge of human resources procedures such as payroll processing, employee onboarding, and confidentiality handling Exceptional communication skills with a professional phone etiquette and client communication expertise Organizational skills that ensure accuracy in bookkeeping, filing systems, calendar management, and office operations Ability to handle confidential information discreetly while maintaining high levels of professionalism Join us as an HVAC & Electrical Office Coordinator where your organizational talent and technical knowledge will make a tangible impact!
