Role:
The Administrative Manager will be responsible for managing and optimizing all administrative functions across Triumph's modular office and rental operations. This role requires someone who can ensure data integrity, billing compliance, contract accuracy, vendor coordination, and team alignment across multiple functions. The manager will lead a team of administration staff working under multiple disciplines and collaborate cross-functionally with operations, sales, finance, and field services. Core ResponsibilitiesAdministrative Leadership & Oversight
  • Supervise and develop a team of administrative personnel, including assigning tasks, performance reviews, and ongoing training.
  • Implement standardized administrative procedures and ensure consistency across departments.
  • Serve as liaison between sales and operations staff to ensure workflow efficiency and clarity of responsibilities.
  • Facilitate team meetings to communicate priorities and identify improvement opportunities. Database & Document Management
  • Maintain and oversee entry of all customer, contract, asset, and billing records into ERP systems (e.g., SAP, Salesforce).
  • Develop protocols for scanning, naming, cataloging, and storing digital documents for fast retrieval and compliance.
  • Perform regular audits to validate data integrity and enforce company-wide document retention policies.
  • Support data migration or system integration initiatives in coordination with IT or software personnel. Billing, PO & Financial Compliance
  • Review incoming vendor invoices for accuracy against purchase orders, delivery confirmations, and service agreements.
  • Ensure that billing is coded correctly and routed through appropriate approval channels in a timely manner.
  • Reconcile discrepancies by investigating billing variances and working with vendors or internal departments to resolve. Contract & Work Order Administration
  • Review/ oversee all customer documentation (contracts, purchase orders, insurance certificates) prior to release or scheduling of equipment.
  • Manage lifecycle of contracts including tracking renewal dates, amendments, and expiration timelines.
  • Work with contracts team or management to ensure compliance with terms, indemnifications, and contract risk mitigation.
  • Monitor work order progression to ensure accurate billing for time, material, permits, and value-added services. Inventory & Fleet Management Support
  • Track and manage administrative records related to serialized inventory
  • Monitor permits, wait times, special transport billing (e.g., wide loads, escorts, city permits) and ensure documentation is accurate.
  • Work with dispatch and operations to reconcile physical vs. system inventory counts, adjusting records as needed.
  • Assist in vendor communications and PO generation related to outsourced logistics and maintenance. Communication & Coordination
  • Schedule and document weekly operational, safety, and interdepartmental meetings, ensuring action items are tracked.
  • Maintain communication with vendors for order updates, shipping notices, and documentation compliance.
  • Coordinate administrative projects with field, shop, sales, and dispatch departments to ensure alignment with execution.
  • Act as escalation point for administrative-related customer or vendor concerns, ensuring prompt and professional resolutions. Process Improvement & Compliance
  • Facilitate audits and compliance checks related to safety, billing, documentation, and regulatory requirements.
  • Organizing signage, training sessions, visual controls, and process documentation.
  • Propose administrative process improvements based on metric tracking, team feedback, and operational needs.
  • Ensure company policies are followed and updated in coordination with HR, Finance, and Operational leadership.

Education:
  • Bachelor's degree in Business Administration, Operations Management, or related field preferred.
  • Associate degree with relevant experience may be considered.
Experience:
  • 3-5 years in administrative or operations management, ideally in construction, modular, or equipment rental industries.
  • Hands-on experience with
ERP & CRM
Systems
  • Familiarity with billing, contract management, PO processing, and fleet coordination.
Skills & Competencies:
  • Excellent project management, time management, and multitasking abilities.
  • High attention to detail with the ability to identify and resolve inconsistencies.
  • Strong written and verbal communication across multiple departments and levels of leadership.
  • Ability to lead small teams, delegate work, and foster collaboration across functions.
  • Problem-solving mindset with comfort working independently on complex administrative issues.
Physical Requirements:
  • Ability to sit or work on a computer for extended periods.
Occasionally lift up to 25 lbs. Ability to travel by plane or car to our branch locations Working Conditions This is a full-time, office-based position with field visits to branches located in the Northeast & Midwest. Standard hours are 8:00 AM to 5:00 PM, Monday through Friday, with flexibility required during audits, month-end close, or operational surges. $85,000.00
