Job Description Day-to-Day Responsibilities:
The Proposal Coordinator will manage the full proposal development process from receipt of an RFP through final submission, partnering closely with technical, engineering, and project management teams to meet tight deadlines. This role is responsible for organizing proposal schedules, assigning sections to key stakeholders, facilitating review meetings, tracking deliverables, and sending reminders to ensure progress stays on track. The Proposal Coordinator will gather and edit content including cover letters, scopes of work, team qualifications, project experience, organizational charts, and project schedules, ensuring all information is clear, accurate, and professionally written. Using Adobe InDesign, they will format and lay out proposals, incorporate graphics and images, maintain brand standards, and manage multiple draft revisions based on stakeholder feedback. The ideal candidate is highly organized, detail-oriented, comfortable leading the proposal process with minimal oversight, and has strong editing, communication, and project coordination skills. https://insightglobal.com/workforce-privacy-policy/. Skills and Requirements- 3+ years of proposal coordination experience, ideally managing proposals from RFP receipt through final submission
- 3+ years of hands-on Adobe InDesign experience, including page layout, formatting, and incorporating graphics/images PC not Mac
- Experience coordinating cross-functional teams (engineering, technical, project management, etc.) to gather proposal content
- Strong project management and organizational skills with the ability to manage multiple deadlines simultaneously
- Excellent written communication, editing, proofreading, and grammar skills
- Experience scheduling and facilitating proposal review meetings and managing stakeholder feedback
- Ability to work independently and drive the proposal process with minimal oversight Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
- Experience supporting engineering, architecture, construction, utilities, or professional services firms
- APMP certification or other proposal management certifications
- Experience responding to public sector or government RFPs
- Graphic design or marketing collateral development experience
- Familiarity with proposal/content management systems
- Experience creating organizational charts, resumes, project profiles, and team qualification packages
- Experience developing proposal schedules, compliance matrices, and submission checklists Advanced Adobe Creative Suite experience (Photoshop, Illustrator, Acrobat)
