® is seeking a Service Order Supervisor, Fort Bragg Dining Facilities to join our Operations Services team. This position is on-site. Travel is expected, including potential weekend and overnight stays, up to 10-20% of the time. The Service Order Supervisor is responsible for repair response supervision, service dispatching, maintenance reporting, safety, procurement activities. monthly invoice build up and administration. The essential functions of the position include: Responsible for maintenance service dispatching operations for operation and maintenance program Process work orders/tasks and manages the work order process Frequently communicate with customers Key custodian Serve as liaison between ESG, the federal government, and subcontractors Monitor subcontractor schedule and work Maintain an equipment record database and interface with various equipment control systems Performs site specific activities, such as reporting and invoices, as required Provide operational and technical support to Engineering and Project Management by completing rate analysis, tracking ESG/subcontractor submittals, change orders, and RFI's (request for information) -as required Support Operations and Procurement by preparing, and administering contract documents Review draft contracts and request changes to such draft contracts to identify legal issues and areas of potential risk Negotiate subcontract agreements Manage contract process including coordination with ESG personnel on contract issues to ensure that contracts achieve overall Company objectives and policies Ensure proper execution of contract and distribution of contracts to appropriate departments Maintain most current versions of customer and subcontract agreements in document management system for the Picatinny Arsenal Responsible for procurement of materials and supplies to include maintaining the CMMS inventory records utilizing corporate credit cards and assisting Procurement with issuing Purchase Orders, Scopes of Work and Professional Service Agreements via Pass and IFS Liaison with ESG Contracts and Procurement; maintain list of active contracts and service orders; provide vacation back up to OPS Contracts and Procurement personnel Coordinate collection of W-9 Forms, Subcontractor Certificates of Insurance and Subcontractor Payment and Performance Bonds Assist with IFS support to Operation Services locations Receive, verify, track, and process vendor invoices Execute and document change orders and contract modifications; obtain notices of acceptance; obtain and submit lien waivers; negotiate, document, and settle contract disputes Assist in managing ESG work order process, monitor subcontractor schedule and work, maintain an equipment record database and interface with various equipment control systems Oversee visitor access submissions and key management and tracking, as needed Serve as coordinator for Information Protection Perform various general and administrative duties: Oversee manager's calendar and e-mail; organize and arrange for access badge, office space/equipment, phone/email access, office orientation, etc. for new employees and visitors Organize meeting logistics Create and maintain Customer and Subcontractor filing system Proofread and correct staff works products Prepare meeting notes Own shared drive folder organization, including nomenclature, purging, and archiving files Own Operations SharePoint Websites File electronic documents in document management system and maintains physical document management system Your background includes: High School Diploma or GED Three or more years (3+) of related experience with procurement activities and computer maintenance management system Five or more years (5+) of utilizing computer systems A bonus to have: Associate's degree Previous leadership and/or supervisory experience Experience with IFS ERP What we bring to you: Professional growth and development programs including tuition reimbursement Comprehensive health, dental, vision insurance plans and wellness plans for employee and your family Life insurance, short-term disability, long-term disability, and supplemental benefits 401(k) Savings Plan Nine Paid Holidays Paid Vacation and Personal/Sick Leave Paid Parental Leave for the birth, adoption, or placement of a child/children Highly competitive salaries and incentive structure We want you to know: ESG is an Equal Employment Opportunity Employer.
