JOBID=199337 Job Summary We are seeking a dynamic and detail-oriented Facilities Contract Administrator to oversee the management and administration of facility-related contracts. In this role, you will ensure that all contractual agreements related to facilities operations, maintenance, procurement, and vendor services are executed efficiently, compliantly, and aligned with organizational goals. Your expertise will support strategic planning, vendor management, and compliance initiatives, fostering seamless contract execution that drives operational excellence. This position offers an exciting opportunity to contribute to the smooth functioning of our facilities through meticulous contract oversight and proactive stakeholder engagement. Duties Manage the entire lifecycle of facility-related contracts, including drafting, review, negotiation, and renewal processes using legal drafting skills and contract management systems such as Salesforce or PeopleSoft. Coordinate procurement activities by sourcing vendors, evaluating proposals, and ensuring adherence to Federal Acquisition Regulations (FAR) and UCC law where applicable. Oversee vendor management by establishing performance metrics, conducting regular reviews, and ensuring compliance with contractual obligations. Maintain meticulous document management records for all contracts, amendments, correspondence, and related documentation using records management best practices. Conduct contract review sessions to ensure clarity on scope of work, pricing structures, change management procedures, and compliance requirements. Negotiate terms with vendors and contractors to secure favorable pricing while safeguarding organizational interests through strategic negotiation techniques. Support business development efforts by preparing proposals, assisting with pricing strategies, and contributing to strategic planning initiatives. Utilize ERP systems such as SAP or PeopleSoft for purchasing workflows, contract tracking, and reporting purposes. Collaborate with legal teams on intellectual property law issues and legal drafting to ensure contractual protections are comprehensive. Implement contract compliance management practices by monitoring adherence to contractual terms and regulatory standards including UCC law and FAR regulations. Facilitate contractor management activities by overseeing onboarding processes, performance evaluations, and change management procedures using DocuSign or similar electronic signature platforms. Qualifications Proven experience in procurement, vendor management, contract negotiation, and legal drafting within a facilities or real estate environment. Strong understanding of contract law principles including UCC law (Uniform Commercial Code), FAR (Federal Acquisition Regulations), and compliance standards relevant to facilities operations. Proficiency in document review processes along with records management systems such as Salesforce or PeopleSoft. Excellent negotiation skills with the ability to develop mutually beneficial agreements while managing risk effectively. Familiarity with ERP systems for purchasing and contract tracking; experience with DocuSign or equivalent e-signature tools is preferred. Demonstrated ability to manage multiple contracts simultaneously while maintaining attention to detail in a fast-paced setting. Strong research skills combined with strategic planning capabilities to support business development initiatives.
