Job Description
SUMMARY The Marketing & Proposal Specialist supports the development of sales proposals, presentations, marketing materials, and brand communications that drive business growth. Combining strong editing, project coordination, and graphic design skills, this role creates polished, visually compelling deliverables that strengthen our brand and messaging. The ideal candidate is creative, highly organized, and detail-oriented, with a passion for managing multiple projects while shaping impactful communications and building expertise in proposal management and marketing.
ESSENTIAL FUNCTIONS, RESPONSIBILITIES, AND DUTIES
Proposal Management Execute the design, development, editing, and production of proposals, presentations, and sales support materials.
Coordinate proposal timelines, gather content from subject matter experts, and ensure accuracy, consistency, and professionalism.
Maintain proposal templates and content libraries while preparing final submission packages for print and electronic delivery. Marketing & Communications Create and update marketing collateral, presentations, digital content, and promotional materials across multiple platforms.
Support branding initiatives by ensuring consistent messaging and visual identity across all communications.
Collaborate on creative projects, events, trade shows, webinars, and other marketing initiatives that support business goals. Graphic Design & Content Creation Design and enhance proposals, presentations, reports, and marketing materials, as requested.
Develop graphics, charts, layouts, and visual elements that improve readability and strengthen messaging within proposal packages.
Contribute creative concepts and perform photo, graphic, and digital content editing to elevate the impact of company materials.
REQUIRED QUALIFICATIONS AND COMPETENCIES
- Qualifications
- Education & Experience Bachelor's degree in Marketing, Communications, Graphic Design, Journalism, or a related field preferred.
- 2+ years of experience in marketing, communications, proposal execution, graphic design, or a related role preferred.
- Experience producing professional business documents and marketing materials is a plus. Skills & Competencies Excellent written, verbal, and proofreading skills.
- Strong attention to detail and ability to manage multiple deadlines.
- Creative mindset with an eye for design and visual presentation.
- Strong organizational and project management skills.
- Ability to work independently and collaboratively in a team environment.
- Proficiency with Microsoft Office applications required.
- Experience with design software, Adobe Creative Cloud/InDesign preferred.
•Training and development opportunities are available for individuals interested in expanding their InDesign skills if other requirements above are met. This role offers a pay range of $60,000 - $70,000 annually, based on skills, experience, and location. Employees also receive a comprehensive benefits package including health, dental, vision, 401(k) with company match, and time off.

WORK ENVIRONMENT AND OTHER DETAILS
Travel Requirements
Regular travel required to multiple company locations to support cross-functional initiatives, meetings, training delivery, and on-site operational needs. The role is primarily office-based. All approved travel and related expenses will be covered by Whitsons. These expectations may evolve based on business needs. Physical Demands of the Job
The Team Member is regularly required to sit for extended periods while working at a computer workstation and conducting meetings; frequently required to stand, walk, and travel to multiple locations; and must be able to use hands and fingers to operate computers and office equipment.
