Position Summary:
The Contracts Coordinator oversees the full lifecycle of all types of contractual agreements to ensure compliance, mitigate risk, and support organizational goals. This role supports contract creation, negotiation, execution, and renewal of contracts (sub and primary) while working closely with internal stakeholders and external vendors, funders, and service providers.
Essential Duties and Responsibilities:

Grants and Contracts Coordination:
  • Support the drafting, review, and execution of a wide range of contracts (e.g., service agreements, vendor contracts, MOUs, grant-funded agreements).
  • Monitor monthly expenditures against approved budgets to identify variances, trends, and cost overruns.
  • Maintain a centralized system for contract tracking, renewals, and amendments.
  • Develop and implement standardized subcontract and contract templates, workflows, and procedures.
  • Partners with other agency departments to ensure proper documents, certificates, etc. are accessible to various funders as requested.
  • Support program staff in tracking and meeting all deliverables in a timely manner.
  • Ensure compliance with publicly and privately funded grants and contracts and applicable laws Ensure timely submission of grant and contract related documents (e.g., reports, invoices, payments)
  • Maintain accurate records and generate regular reports on contract status, deadlines, and key data points.
Vendor Management and Contracts:
  • Manage the end-to-end lifecycle of vendor contracts, overseeing onboarding, compliance, and renewals.
  • Ensure all new vendor paperwork and compliance documentation is properly submitted.
  • Maintain a centralized system for tracking vendor contracts and producing reports as needed. Secondary Duties
  • Recommend improvements to enhance efficiency, consistency, and compliance across the organization.
  • Coordinate with Data Associate to support program staff with development of reports, narratives and other contract related requirements as needed
  • Support program staff with contract management using MS Planner
  • Monitor contract obligations and key performance indicators to ensure programs comply with terms
  • Other duties as assigned.

Minimum Education & Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Formal Education:
BA degree in Social Science, Public Administration, Data Science, Business or similar a plus.
Practical Experience :
  • Excellent communication skills both orally and in writing, good listener
  • Ability to work independently, accept supervision, and to work as part of a team
  • Ability to work and communicate with diverse cultural and socioeconomic groups, and differently-abled individuals
  • Experience and knowledge of federal, state and local public contracts and related requirements a plus
Technical Qualifications or Specialized Certification:
  • Proficient skills in MS Office (Word, Excel, Outlook, PowerPoint, Planner)
  • Proficient skills in additional software/platforms including data management
  • Ability to communicate effectively via emails, telephone, and virtual tools, such as Zoom Language, Mathematical, and/or
Reasoning Ability:
  • Ability to solve problems and appropriately prioritize tasks
  • Ability to analyze data and interpret results
