Our Opportunity
The Washington DC office of Squire Patton Boggs seeks an Executive Business Administrator. The Executive Business Administrator provides legal operations and strategy support to a small team of high energy, local corporate partners, and interfaces with our administrative, business development, finance and secretarial teams. The Executive Business Administrator would work directly with the chair of our DC corporate practice. The position is generally an in-office position with occasional exceptions (e.g., a couple of monthly team "work from home days", often on Fridays).
Specific duties include, but are not limited to:
Essential Duties and Responsibilities
Assist in project management for attorney team, including deadline management, tracking client preferences, and billing requirements.
Gather, review and analyze client data and metrics for client engagement (including client reporting) and resource utilization (including internal firm reporting).
Monitor client engagements for billing terms and delivered services, and confirm invoices align, coordinating with the finance team.
Assist attorney and business development teams in establishing and refining broader marketing strategy for the team and building out plans around same, including annual strategy and budget.
Coordinate with the business development team in the production of marketing materials for client distribution, including assisting in BD research efforts.
Coordinate and plan client engagements of varying size and type (e.g., lunches, dinners, a few annual events) with internal and external resources.
Manage data integrity, to include data entry and corrections, utilizing CRM system to allow for list building, marketing effort tracking and general management.
Requirements
Minimum of 7 years of strategic operations experience in a law firm or professional services environment supporting multiple professionals.
Excellent project management skills, organizational skills, and ability to manage competing priorities.
Ability to prioritize workload in order to meet deadlines; must be able to work effectively in deadline pressured situations.
Must possess a high level of professionalism and interpersonal skills to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.
Must have ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone; ability to proofread typed material for grammatical, typographical, or spelling errors.
Intensive document organization and preparation skills required.
Proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel), and Adobe Acrobat.

The salary range for this position is $120k - $150k annually, depending on skills and experience.
