MS Ultrasonic Technology, LLC offers customers a wide variety of solutions in the field of ultrasonic technologies: from ultrasonic components and ultrasonic systems to ultrasonic special machines and servo presses. MS Ultrasonic Technology, LLC is part of MS Ultrasonic Technology Group. Summary/objective This is a dual role assisting in the administrative duties of both sales departments as well as ensuring that the company's trade operations meet federal guidelines and adhere to import and export regulations. Additionally, this position assists with miscellaneous marketing and event planning activities.   • Provides administrative support to SonxTOP/SonxMAC sales teams
  • Communicates with customers regarding orders, documentation, and inquiries
  • Maintains sales, service, machine, and component order logs
  • Creates and manage sales documents including quotes, invoices, credit memos, and proposals
  • Processes purchase orders, order intake reporting, and customer setup
  • Sets up jobs and sales orders in SAP for after-sales, service, and machine orders
  • Monitors invoicing status and ensure timely invoicing in SAP
  • Maintains and update customer and sales records
  • Generates reports and prepare materials for sales meetings
  • Uploads and organize sales documentation in shared systems
  • Processes timesheets related to service jobs
  • Coordinates meetings, travel, and on-site customer visits
  • Supports tradeshows and sales events as needed
  • Creates quotes, sales orders, down payment invoices, and revenue invoices in SAP
  • Navigates SAP SD module to manage customers, pricing, delivery terms, and order status
  • Reviews delivery terms against quotes and customer requirements
  • Tracks open sales orders and provide reporting as needed Additional Responsibilities
  • Review Terms and Conditions - new customers, contracts, long term agreements, purchase orders for legal and financial implications
  • Coordinate legal review and approval of NDAs, contracts, and purchase orders, etc.
  • Maintain accurate sales records and required documentation
  • Assist with quality management activities and internal audits
  • Perform other duties as assigned by Sales and Executive Management
  • Assist with marketing initiatives and company events
  • Support social media activities as assigned
  • Coordinate travel and accommodations for visiting international colleagues Customs & Trade Compliance
  • Ensures compliance with international trade and customs regulations
  • Assesses, identifies, and mitigates compliance risks to avoid penalties
  • Assigns harmonized tariff codes and determine country of origin
  • Audits customs entries and reports
  • Reviews customs charges, coordinate corrections, and track refunds
  • Works with brokers and freight forwarders, including managing powers of attorney Participate in ISO audits and documentation updates Work environment The employee must be able to function independently in an office setting.
The employee may encounter high stress environments that require quick thinking, independent decision making and/or teamwork. Physical demands The employee is regularly required to sit, type on a keyboard and work with computer software and spreadsheets. The employee must be able to clearly communicate to team members both face-to-face and electronically. The employee is occasionally required to stand and navigate an industrial environment. The employee must be able to work in high stress situations. Travel required N/A Required education and experience Business or International Business degree or certificate 2+ years of related work experience in customs compliance Must have high attention to detail and be able to work in a fast paced, frequently changing environment.
Computer skills:
Must be adept in use of MS Office 2013 or later, particularly Excel and Word, and PowerPoint, Internet and email. Additional eligibility requirements Must be able to think logically and quickly while maintaining excellent customer service and a calm demeanor. Must be organized, self-motivated, and have excellent customer service skills. Work authorization/security clearance requirements Must be legally authorized to work in the United States. Pay:
$65,000.00 - $75,000.00 per year
