1Summary:
Under the supervision of the Senior Director of Facilities Operations, the Director of Facilities Operations will provide leadership to ensure that agency facilities and operations meet industry, agency, and funder standards. This position organizes, administers, and leads a comprehensive program of maintenance and custodial services in an effective manner, ensuring that agency facilities, grounds, equipment, and furnishings are well maintained, so that staff, clients, funders, and visitors experience a clean, safe, attractive, and healthy environment. This position oversees maintenance, janitorial staff and supervises theFacilities Maintenance Managers Essential Duties and Responsibilities:
Supervise, coordinate, and assist in the timely completion of all major repairs and facility rehabilitation, including interior and exterior facility grounds, buildings, and equipment Ensure that staff are adequately trained, equipped, and motivated so that all building maintenance can be accomplished in a safe, timely, and cost-effective manner Provide an efficient work order system for repairs of facilities and equipment that ensures that all maintenance and repairs are completed within industry standards Develop and implement a schedule of regular evaluation and preventative maintenance/repair tasks of the facilities ensuring the safety of the buildings from fire, flood, and other hazards to include pest control Review the operation and condition of electrical, air conditioning, plumbing, and other essential systems and equipment on a continuous basis to minimize unplanned downtime, and identify areas in need of improvement Maintain accurate records of the condition of systems, equipment in all buildings, and inspections; prepare monthly reports on facilities conditions and inspections Provide individual and team supervision, support, and performance evaluations for all assigned staff Provide regular project and work order status reports to supervisor Ensure compliance with applicable building and safety codes, hazardous waste disposal, OSHA, hazardous materials, etc. Participate in the development of policies and procedures that affect the use of supplies, equipment, and maintenance In coordination with supervisor, work with outside contractors as needed, provide budgetary oversight of program administration, and ensure program revenue and expenses are within adopted annual budget Develop a custodial services plan for each building that outlines the tasks of and expectations for custodial employees, indicating a detailed daily and periodic schedule for cleaning and basic facility repairs Ensure adherence to all partner agencies and other funding source contracts and performance standards, along with all relevant laws, regulations, and agency accounting policies and procedures Responsible for ordering and maintaining inventory of janitorial supplies and maintenance tools Be available for emergencies, after hours, holidays and weekends Responsible for creating and revising the staff Holiday schedule and revising as needed Responsible for ensuring that all submitted work orders in the UpKeep portal are assigned to staff and completed in a timely manner Coordinate employee schedules always ensuring adequate coverage at all sites Hire, train, and manage a team of maintenance engineers and janitorial staff, ensure that they adhere to all safety protocols Responsible for the approval of staff timesheet, vacation request, and providing adequate coverage for sites due to staff call outs at any timeQualifications:
High Scholl Diploma or Equivalent Able to be on-call 24/7 Valid CA Driver's license, reliable car, auto insurance, and an acceptable driving record Minimum five (5) years' experience as a Maintenance Supervisor in a commercial building, or an equivalent combination of education and experience Experience supervising staff and scheduling routine maintenance tasks Experience with commercial building maintenance including plumbing, construction and structure repair, routine electrical, preventative maintenance tasks, and HVAC Some experience working with the homeless, preferably those living with mental illness and/or substance addictions Able to use computers for word processing, data management, and telecommunications Effective interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community Self-starter with the ability to stay ahead of the curve and thrive in fast-paced work environment Extensive knowledge of workplace safety and illness and injury prevention practicesPreferred Qualifications:
Bilingual English and Spanish Work Environment:
Field will need to travel outdoor, and indoor office environment Will walk and/or drive to different local sites Will need frequently to stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 75 pounds or less Will necessitate working in busy and loud environments Will be exposed to elements like cold, heat, dust, noise, and odorEXPECTED BEHAVIORS OF ALL STAFF 1.
