Position:
We are a locally owned fuel delivery company seeking a proactive, highly organized Dispatcher to coordinate the daily execution of our commercial delivery routes. This is a hands-on, fast-paced position for someone who operates with a strong sense of urgency, can manage multiple live priorities at once, and remains calm and accurate when plans change. The core of this role is simple: build a workable daily plan, prepare drivers and trucks, monitor routes in real time, communicate early, and resolve developing problems before they affect the customer.
Key Responsibilities:
Plan, distribute, monitor, and follow up on daily route assignments to ensure customers are serviced according to company standards. Build efficient routes that account for recurring orders, non-recurring requests, customer delivery windows, Bay Area traffic, driver hours, truck availability, and site requirements. For diesel and unleaded routes, calculate product requirements, select the appropriate truck and compartment plan, and prepare clear daily load sheets and driver/truck assignments. Manage the dispatch inbox and Non-Recurring Items List, ensuring every request is captured, confirmed, scheduled, and tracked through completion or escalation. Monitor tank levels and proactively schedule will-call customers when tank readings indicate service is needed. Check drivers out and in and confirm route information, truck loads, access items, equipment, and reported variances. Monitor Samsara, traffic, route progress, actual delivery gallons, driver hours, required breaks, overtime exposure, and regulatory limits throughout the day. Recognize larger
- or smaller-than-expected deliveries, recalculate remaining routes, and adjust reloads, stop sequences, or assignments before later customers are affected.
Communicate continuously with drivers and troubleshoot customer, access, equipment, product, quantity, loading, and routing issues. Communicate professionally with customers regarding delivery windows, ETAs, delays, and recovery plans. Coordinate daily delivery needs with Sales and Operations. Perform route reconciliation and document partial deliveries, failed deliveries, and other variances. Complete a clear written shift handoff. Promote safe operations and follow up on customer-site problems, DVIR repairs, safety concerns, and recurring issues reported by drivers.
What Success Looks Like:
Every known delivery request is captured and assigned a clear next action. Routes are efficient, properly supplied, and realistic before drivers depart. Developing route, timing, truck, or product problems are identified and addressed before they become service failures. Customers, drivers, Sales, and Operations receive clear and timely communication. Routes are reconciled accurately. Every incomplete delivery has a documented recovery plan. Drivers have the information and support they need to successfully complete their routes.
Qualifications:
Previous experience in dispatch, transportation, logistics, commercial fuel delivery, fleet operations, or as a Class A or B commercial driver. Demonstrated ability to succeed in a high-pressure, fast-paced environment. Ability to handle multiple tasks simultaneously while maintaining composure, accuracy, and sound judgment. Strong ownership mentality, attention to detail, and follow-through. Ability to recognize when something is missing or going off plan and take action without waiting to be told. Strong commitment to customer service with professional phone, email, and in-person communication skills. Excellent organization, prioritization, and problem-solving abilities. Basic math skills, including the ability to work with gallons, product types, delivery quantities, and truck capacities. Ability to learn new technology quickly. Proficiency with Microsoft Office and comfort using dispatch, GPS, telematics, and route-management systems. Working knowledge of Bay Area geography and traffic patterns, or the ability to learn them quickly. High school diploma or equivalent. Ability to work the required full-time day shift, including weekends or holidays when required.
Preferred Qualifications:
Experience dispatching commercial fuel, propane, petroleum, or other time-sensitive delivery operations. Class A or B commercial driving experience. Fuel-delivery experience or practical knowledge of truck capacities and compartment planning. Experience with Samsara or similar GPS/telematics systems. Experience with route-optimization or dispatch software. Familiarity with DOT hours-of-service requirements, commercial vehicle operations, and driver safety processes.
