Position:

We are a locally owned fuel delivery company seeking a proactive and highly organized Fuel Delivery Dispatcher to coordinate the daily execution of our commercial delivery routes in the Bay Area. This is a hands-on, fast-paced position for someone with experience in transportation, logistics, fleet operations, commercial fuel delivery, or commercial driving who can manage multiple live priorities while remaining calm, accurate, and focused on customer service. The Dispatcher is responsible for building workable daily routes, preparing drivers and trucks, monitoring deliveries in real time, communicating with customers and drivers, and resolving developing problems before they result in missed or delayed deliveries. This is not a position where you simply assign routes and wait for drivers to return. You will actively monitor the operation throughout your shift and adjust the plan as conditions change.

What You'll Do:

Plan, assign, monitor, and follow up on daily commercial fuel delivery routes. Build efficient routes based on recurring orders, new requests, customer delivery windows, Bay Area traffic, driver hours, truck availability, and customer-site requirements. Calculate diesel and unleaded product requirements for scheduled routes. Determine appropriate trucks and compartment configurations based on product and delivery requirements. Prepare clear daily load sheets and driver/truck assignments. Monitor tank levels and proactively schedule will-call customers when readings indicate service is needed. Manage the dispatch inbox and Non-Recurring Items List, ensuring every request is captured, confirmed, scheduled, and tracked through completion. Check drivers in and out and confirm routes, truck loads, access requirements, equipment, and other necessary information. Monitor Samsara or similar GPS/telematics systems, traffic, route progress, actual delivery gallons, driver hours, required breaks, overtime exposure, and regulatory limits. Recognize larger

• or smaller-than-expected deliveries and recalculate remaining route requirements.

Adjust reloads, stop sequences, routes, or driver assignments when conditions change. Communicate continuously with drivers and troubleshoot issues involving customers, access, equipment, product, quantities, loading, and routing. Communicate professionally with customers regarding delivery windows, ETAs, delays, and recovery plans. Coordinate daily delivery needs with Sales and Operations. Reconcile completed routes and document delivery variances. Document partial, failed, or incomplete deliveries and establish clear recovery plans. Prepare a thorough written handoff at the end of each shift. Follow up on customer-site issues, DVIR repairs, equipment concerns, safety issues, and recurring problems reported by drivers.

What Success Looks Like:

Success in this position means staying ahead of the operation rather than reacting after something goes wrong. Every known delivery request is captured and has a clear next step. Drivers leave with realistic routes, appropriate trucks, the correct product, and the information they need to complete their deliveries. When traffic, delivery quantities, customer needs, equipment issues, or other circumstances change during the day, you recognize the impact early and adjust the plan before the next customer is affected. Customers, drivers, Sales, and Operations receive timely and accurate communication, and every incomplete delivery has a documented recovery plan.

Qualifications:

Previous experience in dispatch, transportation, logistics, fleet operations, commercial fuel delivery, or as a Class A or B commercial driver. Demonstrated ability to succeed in a fast-paced, high-pressure, time-sensitive environment. Ability to manage multiple priorities simultaneously while maintaining accuracy and sound judgment. Strong organizational, prioritization, and follow-up skills. Strong ownership mentality with the ability to recognize when something is missing or beginning to go off plan without waiting to be told. Excellent customer-service skills and professional phone, email, and in-person communication. Strong problem-solving and basic math skills, including the ability to work with gallons, product types, delivery quantities, and truck capacities. Proficiency with Microsoft Office. Ability to quickly learn dispatch, GPS, telematics, and route-management systems. Working knowledge of Bay Area geography and traffic patterns or the ability to learn them quickly. High school diploma or equivalent. Ability to work the required 11:00 AM-8:00 PM schedule, including weekends or holidays when required.

Preferred Qualifications:

Experience dispatching commercial fuel, petroleum, propane, or other time-sensitive delivery operations. Class A or B commercial driving experience. Fuel-delivery experience or practical knowledge of commercial truck capacities and compartment planning. Experience using Samsara or similar GPS/telematics systems. Experience with dispatch or route-optimization software. Familiarity with DOT hours-of-service requirements, commercial vehicle operations, and driver safety procedures.
